Web Trnsport Implementation TEA/TUG October 1-9, 2008 Saratoga Springs, NY

To implement web Trnsport… Get Ready - license, change management, system upgrades, data clean-up In the Gate - configuration/customizations analysis The Race Is On - install, migrate data, configure, train, test Home Stretch - parallel test, user training Finish Line - go into production

Get Ready License –Acquire web Trnsport license from AASHTO (no additional $ if you already license) –2 Service Units provided for Web Trnsport Preconstruction effort Applies to the initial production release To be used within timeframe set by the TTF For implementation services (e.g., installation, data migration, customizations)

Get Ready Change Management –Prepare your agency for implementation of the new system –Keep users and management informed about progress and critical dates

Get Ready System Upgrades –Upgrade Client/Server Trnsport products to the latest release –Upgrade supporting software (e.g., Oracle) –Acquire appropriate web Trnsport hardware/software –Hardware/software requirements are located at Select Products/Supported Versions and System Specifications

Get Ready Data –Pass awarded contracts to BAMS/DSS –Consider deleting awarded contracts residing in PES/LAS –Clean up reference data Determine used but obsolete codes, items, vendors and set obsolete flag Delete invalid and unused codes, items, vendors, and other reference data

Inventory Customizations –Analyze PES/LAS customizations and configurations Reports Interfaces Plug-ins Screen formats Metadata System configurations (line numbering, uppercase, etc.) Security In the Gate

CRLMS Evaluation –Determine if CRLMS will be implemented Review web Trnsport preview site to help your decision Select Products/web Trnsport/Member Links (Preview Site) If yes, then … –Analyze existing civil rights business processes –Perform a Fit/Gap analysis –Complete Business Process Adaptation

In the Gate Customizations Evaluation –Determine which PES/LAS customizations are still required –Review web Trnsport preview site to help your evaluation Select Products/web Trnsport/Member Links (Preview Site) –Compile sample outputs and customization designs

In the Gate Customizations Evaluation (continued) –Determine which web Trnsport base reports need modification –Evaluate the need for new customized reports –Determine if your agency requires customized documentation –Decide who will develop customizations

The Race Is On Web Trnsport Installation Plan –Decide on agency options (e.g., uppercase) –Make a web Trnsport security plan considering agency permissions –Evaluate agencys IIS expertise –Utilize web Trnsport checklist

The Race Is On Web Trnsport Installation –Verify system meets specifications –Install web Trnsport via download from Cloverleaf Acceptance test environment Development environment –Run automated acceptance tests that are delivered with the system (Fitness)

The Race Is On System Configuration –Set agency-appropriate system configurations –Set up minimum, basic security workflows and phases

The Race Is On Data Migration –Review data migration mapping and adjust as needed –Run data migration utility to migrate PES/LAS data to web Trnsport –Review data migration issues, fix data in PES/LAS if needed, and re-migrate –CRLMS – additional data migration and manual population

The Race Is On CRLMS –Document new business processes –Develop Use Cases –Plan and perform pilot projects

The Race Is On System Customizations –Modify web Trnsport base reports as needed –Rewrite RTF customized reports, interfaces, etc. (AR Report Designer tool is supported in Web Trnsport ) –Test non-RTF customizations for compatibility with web Trnsport and adjust as needed –Apply customizations to web Trnsport –Write customized documentation if needed

The Race Is On Training –Train core group of testers on web Trnsport –Train universe of users after system testing and closer to the time they will use web Trnsport

The Race Is On Testing –Create a web Trnsport test plan appropriate for your agency (including interfaces between Trnsport systems and non-Trnsport systems) –Perform web Trnsport testing according to test plan –Compare PES/LAS and web Trnsport Preconstruction report output results on identical projects/proposals –Adjust as needed and retest

Home Stretch Parallel Testing –Run PES/LAS and web Trnsport Preconstruction in parallel for several lettings –Run CRLMS and agency legacy processes in parallel –Compare results from both systems –Adjust as needed and retest

Finish Line Go Into Production –Train all users –Turn off PES/LAS and/or agency legacy systems and processes –Pat yourselves on the back! Get new picture
