Marks Spreadsheet Training NCWISE Welcome 2 sessions to give you: a review of NCWISE attendance procedures a review of suggested business practices time to formulate your grading practices hands on experience in using the marks spreadsheet This is another opportunity you will have to explore the features of NCWISE and begin to learn your role in using it. Attendance - All Present If all students are present, you may quickly take attendance by checking the AC checkbox beside your class. Stanly County Schools ©2005

Attendance - Absent and Late If all students are not present, click on List to display student names. Absences and Lates can be recorded on this screen. Attendance Entry Completed checkbox must be checked. Stanly County Schools ©2005

Stanly County Schools ©2005 Business Practices Attendance in elementary/middle schools will be completed by 8:30 AM. Attendance in high schools will be completed during the first 15 minutes of each block. Teachers who are away from the classroom when attendance is taken (ex. PE, Band) may use hard copy forms for recording attendance. Substitutes will use hard copy forms for recording attendance. Hard copy forms will be provided for all teachers in the event of a school wide disruption of internet service. District recommendations. (This slide can be altered to reflect the business practices of elementary/middle/high schools.) Suggestion for teachers: Ask your data manager for the correct form for taking attendance in your school and leave a copy of the form in your substitute folder. New forms will need to be printed when students are added or withdrawn from classes. Stanly County Schools ©2005

Stanly County Schools ©2005 Security State Board Policy EEO-C-018 Only certified personnel will have access to TAM. New users will have 11 days to log into the system and change their password. User accounts are disabled if inactive for 30 days. Logins are disabled after three attempts. An attempt to unlock TAM once it has timed out, will count as one unsuccessful log in. Contact the Data Manager for reinstatement of logins and user accounts. Security measures are determined by FERPA, NCWISE state policy and SCS BOE policy. Stanly County Schools ©2005 Security Users will use a unique password. Must be 8 characters and be composed of a random variety of letters, numbers and symbols with no spaces in between. Must contain at least 2 numeric characters. First and last character must be an alpha character. Should not contain dictionary words. Cannot be reused until 6 additional passwords have been created. Stanly County Schools ©2005 Vocabulary Prep A teacher’s plan for instructional assessment. Marks spreadsheet = Gradebook The TAM screen on which teachers see assignments and student marks. Assessment = Assignment Term used for student assignments (tasks) Point out the terms (marks spreadsheet and assessment) as they relate to previous Integrade terms. Stanly County Schools ©2005

Stanly County Schools ©2005 Setting Up My Options On this screen, most options are determined by the district. Teachers have a choice on only two options: 1. Default Order of Assignments and 2. Default Display We will set these up together later in the training. Stanly County Schools ©2005

Stanly County Schools ©2005 My Preps A prep is a plan for how you assess instruction in your classroom. If you use the same assessment types (classwork, homework, quizzes, tests) and assessment type weights for every class, you may create a single prep. If you use different assessment types and/or assessment type weights for each class, you should create multiple preps. Teachers need to think about the assessment types they currently use in Integrade. Things to consider: Is everything set up as General or are tasks set up as Classwork, Homework, Tests, etc.? If teachers use different types of tasks, (Classwork, Homework, Tests) do they weight them equally or do they assign different weights for each assessment type (task)? If teachers use the same assessment types (tasks) for every class that they teach, they can set up one prep in TAM. If teachers use different assessment types and/or assign different weights to their assessment types, then they will need to create multiple preps. Stanly County Schools ©2005

Stanly County Schools ©2005 Setting Up My Preps On this screen, you will enter a name for each prep that the teacher is going to create. Clicking the ADD button will allow the teacher to create multiple preps. Stanly County Schools ©2005

Stanly County Schools ©2005 Prep Details This is where details will be entered for each prep. The classes assigned to each prep will be chosen in the Prep Classes quadrant. Prep Classes Report Cycles are determined by the LEA and are for viewing only. The Prep Area of Study is determined by the LEA. General will be used by everyone. Prep Assignment Types and Weights will be chosen by the teacher. Stanly County Schools ©2005

Selecting Assessment Types If the teacher uses assignment types, they will choose them from a predetermined list created by the LEA. If the teacher uses General to define all assessments, they will chose General from this list. NOTE: 8th grade Algebra teachers and all High School teachers must choose the Final Exam / EOC assignment type. Stanly County Schools ©2005

Selecting Assessment Weights General / Weight of 1 Assessment types / Weight of 1 Assessment types / Assigned weights NOTE: You may weight individual assignments but you will not do that here. You will do that when you create the assignment. Teacher will have three choices in determining Assessment weights. General / Weight of 1 - the teacher uses General as their only assessment type. (Exam/EOC must also be chosen by High School and 8th grade Algebra 1 teachers. ) Assessment types / Weight of 1 - the teacher uses multiple assessment types but weights them all equally. Assessment types / Assigned weights - the teacher uses multiple assessment types and weights them individually. (Exam/EOC must also be chosen by High School and 8th grade Algebra 1 teachers. Notice that this will give them a total of 101 instead of a total of 100. The Final Exam / EOC assessment type MUST be given a weight of 1 but does not affect the combined weight of other assessments - which will equal 100) NOTE: In the next training session, we will enter marks for the preps that you will create today. If you attempt to change your preps once grades are entered, you will lose your grades. It is important that you set your preps up correctly PRIOR TO entering grades. Stanly County Schools ©2005

Using the gradebook functionality, teachers enter assessments and marks which can be posted to eSIS. Summarize yesterday’s preps activities. Stanly County Schools ©2005

Stanly County Schools ©2005 Marks Spreadsheet Select “Class”, “Reporting Term” and “Assignment Types” from the drop down lists at the top of the screen. You will see student names, score totals and assignments in the main body of the screen. The 8 buttons at the bottom allow the teacher to create assignments, change assignments, enter marks, enter comments, and post marks to eSIS. To create an assignment, you click on the Add button at the bottom of the screen. (Point this out and continue to the next slide) Stanly County Schools ©2005

Stanly County Schools ©2005 Creating Assessments This is where you will create the assessment. The short name appears on the actual marks spreadsheet. Individual assignment weights can be determined here. Assessment type should be chosen from the dropdown list. Point out the “Add This to Other Classes” button and proceed to the next slide Stanly County Schools ©2005

Adding Assessments to Other Classes If you want to add the assessment you just created to other classes, click “Copy Selected Info to All” to choose all classes. If there are classes that you do not want to include, remove the check from the Assign? Column. Stanly County Schools ©2005

Stanly County Schools ©2005 Entering Marks Once you’ve created the assessment, you’ll move to the Enter/Comments screen. Here you will enter marks. Notice that you have the option to Copy the first mark down, the option to identify Late and Exempt assignments and the option to enter comments that will appear on the progress report. From this screen, you should tell the teachers to click on the “Go to Entry Screen” button. You should then proceed to the next slide.
