Introduction to training This training is intended for all BSS+ Agencies that do Homeless Prevention data entry into HMIS. Homeless Prevention is an essential piece of the work of the Continuum of Care. Most BSS+ agencies that do prevention also do Rapid Rehousing (RRH) or other types of projects. This training is meant to be taken after ECHO New User Training. This training will mirror the data entry process for HP (Homeless Prevention) BSS+ Projects in HMIS. The training has 4 separate video parts: Part 1: Full BSS+ HP Program Entry Part 2: Change in Circumstance/Interim Update Part 3: BSS+ Services Part 4: Exiting a Client from BSS+ HP

Important data Entry Tips for BSS+ Partners Always make sure you are in the right EDA (Enter Data As) before you continue with data entry into HMIS. You cannot change this later after you have done an Entry/Exit into your program. Only create a Household (via the Households Tab or the Household Widget on the Summary page) if you are serving a household larger than one individual. Always check for an ROI on file before you enter data into ServicePoint It is important to download and look at the actual file upload in the Client Profile Tab to make sure it is signed and within 7 years of being signed originally. If a Client is new to ServicePoint, you will need to always sign ROIs prior to data entry and enter them into the client profile.

Meet Goodwill’s Rockstar Case Manager: Whitney Bright Whitney Bright started working at Goodwill in June of 2015 as a Housing Specialist for BSS+. She attended Texas State University where she received her Bachelors of Science in Applied Sociology. She works with clients at risk of losing their housing. Through intensive case management, she supports clients in achieving housing stability and reaching financial goals. She has been entering data into HMIS since 2015.

Part 1: Full BSS+ HP Program Entry Required at Entry in HMIS: All Universal Data Elements for all Household members. Under the HUD UDEs for All Other Projects (2016) Tab in ServicePoint. All Additional Information for all Household members. Under the Additional Information- BSS Plus (all clients) Tab in ServicePoint. For Head of Household Only! Eligibility and Housing Stability Data. Under the New BSS Plus Eligibility & Housing Stability (HoH Only) Tab in ServicePoint. Housing Stability Assessment answers as collected at Entry. Documented Housing Crisis at Entry. Part 2: Change in Circumstance (Interim Update) Documenting End Dates and Start Dates in an interim update is very important! End old records (i.e. income sources) when they are no longer accurate for your client(s). Create/Add new records (i.e. income sources) when they are currently accurate for your client(s). Expert tip: the more interim updates you do in between client entry and client exit, the less work you will have to do on your exit assessment. Required at Interim Update/Change in Circumstance in HMIS: Add an Interim update via the Entry/Exit tab. Add “type” as update. Interim Updates are done anytime there is a Change in Circumstance: Change in Residency (Housing Move-In Date is updated) Gained or lost Household Members Significant Income changes Changes in Non-Cash or Health Insurance Click Here to Watch Training Video Part II: Change in Circumstance/Interim Update

Part 3: BSS+ Services Required for Services in HMIS: Steps for Entering a Service Transaction for BSS+: Add all Household Members Start and End Dates are the same Select Service Type and Specific Service Type Add Service Notes (if applicable) Add Best Single Source Plus Funding Source and Amount Complete Need Information Status and Outcome Required for Services in HMIS: Case/Care Management service entry at time of client entry. Closed at time of exit. Services entered into HMIS that match the check requests that you will send to the BSS+ Admin Team. Part 4: Exiting a Client from BSs+ HP Additional Steps to Close out a Client in HMIS: Add End Date to your Case/Care Management Service Transaction Change Needs Status to Closed and Fully Met Add End Date to yourself in the Case Management Tab Shows other end users that you are no longer working with the client. Required at Exit in HMIS: Reason for Leaving Destination Show any changes that are known at Exit (i.e any changes to Income, Non-Cash, etc) Housing Stability Assessment answers as collected at Exit.
