While your group most likely knows your date of travel already, this is helpful to confirm the full dates of your travel experience, and so they can mark this down on their calendars. IN-FLIGHT MEAL REQUESTS Contact the airlines at least 72 hours prior to departure. *Please make sure you notify them of any allergies We’ve covered your exact flight details, and now we’d like to offer a few general flight reminders. We recommend traveling with a carry-on but if your needs differ, we encourage your travelers to research airline guidelines prior to arrival at the airport (for example, baggage fees to Costa Rica are approx. $25 each way). When your group gets checked in, the airline will assign them seats. Should any traveler in your group have allergies or preferred dietary requests, they can liaise directly with the airline over the phone before you head out on tour!
This slide helps you share with families the important role of the Tour Director while you are on tour, including their responsibilities in regards to safety and logistics.
Breakfast is included and typically includes cereal, bread, juice, ham, cheese, pastries, coffee and tea. Lunch is purchased at the location we happen to be at on that day. Dinner is included and will be a mix of local cuisine and familiar dishes served as a preset meal for our group rather than being chosen from a menu. Food portions tend to be smaller than in the U.S. Water is included with all meals (and purified where it is deemed necessary). Please inform us of any allergies (permission letters). Group leader has consulted the nurse.
Generally, hotel rooms are smaller than in the U.S. Every effort is made to place students with their friends and students their age or grade level. Wi-Fi will not always be dependable, and when it is there may be a fee. Late check-ins may be necessary. Keeping noise down is important. We want to focus on sharing expectations with your group on this slide: travelers should understand how amenities and style may be different than what they have experienced in North American hotels.
Students are roomed 3-4 per room in a combination of twin and double beds (students will not share beds). Adults will share twin rooms with other adults (unless previous accommodations have been arranged with EF). Students are required to maintain quiet rooms as there are other people staying at these hotels. Students will receive a wake up call every morning and a knock on the door by a chaperone. Keep rooms clean and smelling good. Students can request certain room assignments, via e- mail.

ATMs are the best way to get money Ensure the student has a debit card associated with the parent’s account. Make sure the student knows how to use the debit or credit card. Discuss how much money to spend. Don’t bring traveler’s checks. Notify your bank or credit card company that you’ll be abroad, and where your going. Bring the equivalent of $50 – 60 in the currency (euro) of your arrival destination. We are responsible for our lunches and tipping. All travelers have different spending habits, but we do recommend traveling with the above amounts and ensuring they have updated their bank accounts – these are our pro tips when it comes to finances on the ground!
We recommend tipping in local currency, though of course USD is acceptable as well. You’ll receive envelopes from EF in your backpack shipment that will help you stay organized. We suggest letting travelers know about tipping at this meeting, and collecting final tip amounts at your very last meeting prior to departure! This will help them account for this while budgeting in the next month or so – please speak to your TC for more detailed tipping breakdown (which can be found on the Tour Schedule provided by them), but we do recommend approximately $10 per day per person. 100
Passports Valid passports are required for all travelers. (DO NOT FORGET) Name and gender listed on your EF account must exactly match passport information. Passports must be valid for 6 months after tour. Non-U.S. citizens may require special visas or other travel documents. Make a color copy of the passport and also leave a copy at home. Submit to the chaperone. Group director will collect passports and place them in the hotel safe box upon arrival at each of the hotels. All travelers are responsible for securing their own exit and entry requirements and any additional documentation

Tools to travel with Your shipment of backpacks and wristbands will arrive around 45 days prior to departure. As the Group Leader, our recommendation to you is to bring these wristbands with you on tour and hand them out to travelers once you arrive. This is to ensure that no one forgets these at home, and that they can write down the Tour Director’s cell phone number as soon as it is provided!
Safety as soon as possible (permission letter) No headphones while on the street, public transportation, and when being addressed as a group. No one goes anywhere alone (free time). Do not have anything valuable (passport, wallet, phone, camera) in an EXPOSED pocket. This slide is your opportunity to outline your personal (or your school’s) rules for travel, and make sure all travelers are comfortable with your expectations while on tour. What to bring Pack light: We are responsible for loading our own luggage to and from bus and hotels. You are responsible for any luggage handling fees. Carry any valuable or medication in your EF backpack or carry-on. Pack a change of clothes in your carry-on in case your luggage is lost.
