‘Splitting’ the MUSIC format Presentation to the Cataloging Congress 16 May 2002 prepared by Spencer M. Anspach

Current format selection from menus in Unicorn WorkFlows drop-down menu for format [includes non-MARC formats] WebCat drop-down menu for format (customized to display names instead of codes)

Initial Unicorn implementation We accepted SIRSI’s default formats included both MARC and non-MARC formats delivered formats corresponded to the seven formats enumerated in the 2000 edition of MARC 21 Concise Formats NOTIS used seven formats we did not yet have enough experience with the system to fully explore alternatives to what was delivered

(from OCLC Input Standards) OCLC’s use of formats (from OCLC Input Standards) OCLC WorldCat

RLIN’s use of formats (from Eureka database description) (from RLIN input documentation)

“Format” is not part of the MARC data Format is external to the bibliographic data format is stored on the Title Control Record format does not affect how MARC data is stored in Unicorn format is determined when loading records, via a mapping policy we can configure Format determines: “fixed field” display configuration and labels default values for fixed fields indexing and WebCat display

000/008 mapping to “fixed fields” display in WorkFlows

000/008 mapping to “fixed fields” display in WorkFlows

Steps for adding an eighth format Create a “SOUND” format Change the Type Code => Format mapping Make indexing and WebCat display changes Convert existing data (ca. 100,000 records)* * The mapping used for our original data load had not been updated and mapped the Type Code “t” to MANUSCRPT instead of MARC (it pre-dated the revision of “Manuscripts” to “Mixed Materials”). The conversion of these records (ca. 18,000) should be undertaken at the same time, ideally when complete keyword re-indexing can be done.

Change to Format Menus WorkFlows: WorkFlows: MANUSCRPT MANUSCRPT MAP MARC MRDF MUSIC SERIAL VM WebCat: BOOKS COMPUTER/ELECTRONIC/ONLINE JOURNALS/MAGAZINES/NEWSPAPERS MANUSCRIPTS MAPS SOUND RECORDINGS/MUSIC VIDEO/SLIDES, ETC. WorkFlows: MANUSCRPT MAP MARC MRDF MUSIC SERIAL SOUND VM WebCat: BOOKS COMPUTER/ELECTRONIC/ONLINE JOURNALS/MAGAZINES/NEWSPAPERS MANUSCRIPTS MAPS MUSICAL SCORES SOUND RECORDINGS VIDEO/SLIDES, ETC.

Issues with creating a SOUND format Benefits: more specific OPAC searching (same as in WorldCat and Eureka) allow format-specific indexing and display variations keep up with latest changes to MARC 21 Costs: time and effort (especially data conversion) some additional training for copy cataloging staff changes to existing documentation/help screens for users
