Important Guidelines!! SHIPPING YOUR ROBOT

Know the role of the Shipping Contact! Your Shipping Contact is responsible for all shipping-related issues: –He/she must understand all requirements of robot shipping (2007 FRC Manual, Section 4) –He/she must provide a work/home address as well as a receiving address for any shipments from FIRST, (Kit of Parts, for example) Note: Your main or Alternate contact are responsible for entering the contact information of the Shipping contact in the Team Information Management System (TIMS). The Shipping contact does not have access to TIMS. –He/she must complete all arrangements and paperwork associated with shipping the teams robot to the event(s) and back home.

Know your key Ship Dates! Plan accordingly! –Key Shipment Planning and Ship Dates include: Robot Ship Deadline Date (February 20, 2007) –You may choose any shipping carrier or drive your robot crate directly to the drayage warehouse, for this initial shipment ONLY. Shipping Home from your Regional event oPrepare return airbill prior to event and bring with you Shipping from Regional event to another Regional event* (if applicable) *Take note of special considerations for Back-to-Back events (Consecutive Weekends)!! Shipping to the Championship event from last Regional event (if applicable) Shipping home from the Championship (if applicable) *Back-to-Back events: Before choosing events on consecutive weekends, be sure to carefully consider the shipping and event deadline and expedited shipping costs aspects. FIRST discourages teams from competing in events on consecutive weekends if they are more than 1,000 miles apart. You must make all arrangements early to have your robot ship and arrive to the next event on time. (Section 4.1.1) Robots Must Ship from Event to Event… –Teams cannot take their robots home between events. Robots can be shipped: Through the drayage companys (SES) designated carrier (Roadway, Inc.) OR Through FedEx (shipping airbill must be prepared prior to end of event) –

Shipping vs. Drayage Know the difference between Shipping and Drayage! –Shipping: Transportation of your robot crate from one location to another (drayage warehouse or home after your last event) –Drayage: Temporary warehousing company for receiving, storing and delivery of your crate to the event site Note: Every teams robot crate is both shipped and stored in drayage. See visual depiction of shipping and drayage process on next page…

Visual Depiction of Shipping and Drayage Process 1.Team ships crate to drayage warehouse near event 2.Drayage company delivers crate to event site 3.Drayage company stores empty crate during event 4.Drayage company returns empty crate to team pit for packing up at end of event 5.Drayage company stores crate at warehouse until team schedules pickup and shipment of crate to next destination

Shipping: –If applicable to your team (more info coming soon), *FedEx will donate: Complimentary shipping for one (1) crate to one (1) Regional event Complimentary shipping for one (1) crate back home from last event Complimentary shipping for one (1) crate to and home from the Championship event (if applicable) –Additional shipping, outside of the parameters outlined above, will be the teams responsibility to pay. Teams who print or hand-write FedEx airbills to ship to additional events beyond the allowance of the donation, will be responsible for paying all charges incurred. *FedEx Complimentary shipping may not be available to all teams. An blast and more online information will be available soon! Understand Shipping/Drayage Costs!

Drayage: What FIRST pays for: Material Handling (drayage) cost of ONE (1) crate, within criteria limits, for each team at each competition in which it competes. (FIRST pays drayage costs for one crate up to 400 pounds only. Crates will be weighed by the drayage company (SES) upon arrival to the event site. If a crate exceeds 400 lbs., an overage sticker will be applied. Teams with questions concerning overage charges should seek assistance at the events drayage desk before uncrating.) What YOU will pay for: Costs incurred if crate exceeds measurement or weight specifications (see FRC Manual, section 4.3, Crate Information) Any additional crate. Teams pay entire drayage (and shipping) costs of additional crates Understand Shipping/Drayage Costs!

DO… Deliver your robot to the appropriate Drayage site (for initial shipment only) on Robot Ship Day! OR Arrange for shipping to pick up your robot and deliver to the Drayage Site on robot ship day. All drayage site and event site information will be posted on our website!

DONT… Ship your robot to FIRST.

DONT… Ship your robot directly to the Regional event Venue site. Finger Lakes Regional

In each of these Dont examples, your team will be responsible to pay for shipping to the correct address! FIRST does not want this to happen to you!

Questions? For all shipping related concerns, please always refer to the 2007 FRC manual – Section 4, Robot Transportation For specific questions regarding the shipment of your robot, contact Team Support via at or call , dial 0.
