UF Implementation Lead, UF Manual Data Entry And Permissions Valrie Davis UF Implementation Lead, UF Chris Case UF IT Support, UF

Why Manual Entry? Many tasks still require a data specialist to review the results afterwards to check the accuracy of the data. The data specialists may manually enter any missed or incorrect information. Keeping a log of incorrect information that should be scripted out of subsequent runs may also be a useful task.

Why Manual Entry? Lack of technical support Data are available but not ingestable Key stakeholders Types of data: awards, education, work experience, committees, memberships, etc. Many tasks still require a data specialist to review the results afterwards to check the accuracy of the data. The data specialists may manually enter any missed or incorrect information. Keeping a log of incorrect information that should be scripted out of subsequent runs may also be a useful task.

High Level Preparation Prioritize data sources Acquire CV or biosketch data through library outreach, local repositories, and webpage mining Align manual entry standards with ingest standards Hire Data Specialists (students)

Get Started Document procedures Define the scope Issue tracking and wiki Escalation and issue discovery process Identify team member to address the issue Process to respond to end-user Develop a phased approach Tips: Use a knowledge base or wiki to retain info on common problems and know solutions. A ticket tracking system can assist in managing and maintaining lists of issues. Notify affected parties to the issue to reduce redundant complaints.

Permissions Currently all Data Specialists have greater privileges than we would like 1.3 will have a change in permissions, with addition of new “roles” Must trust your Data Specialists

Managing the Process Communicate progress to the entire team Follow up with Data Specialists and assist them as needed Adjust scope of work, as needed Manual entry can be efficient if you limit to particular data elements If you limit to particular elements, be clear about which ones! Spell check. Spell check. Spell check.
