Advanced Searching Tips If you are searching from this page, you will NOT find any News Information. To search for News Announcements, please click one of the following locations. In order to execute a search you can… Enter your desired keywords in the box provided & click search Move to Slide #2 for additional help Click Show Properties to search based on document specifics Move to Slide #6 for additional help

When you execute a KEYWORD search on The Garden, the Search engine: First, looks for the specific terms in the document & the metadata. Then, it looks for related words (Example: You type house & in addition to house, it also looks for home) Next, the engine evaluates, indexes and ranks what it finds. Finally, it displays results based on how often words & related words appear in the document & metadata Search results will work best if: The search is as specific as possible If the content includes the words that people will use to find it Metadata: Title: Test Doc.xls Modified By: John Doe Size: 120 KB Document Type: Excel Edited By: Julie Doe Created on: 1/20/07 Notes: * If multiple results appear for the same document, that document has been copied to multiple places on The Garden * A new document will take 10-15 minutes to be indexed by the search

Keyword Search Strategies Exact Search: Enter search terms in quotes; example: “Contact List” Will look for any document that has the exact phrase “Contact List”

Boolean Search: “OR” - The document matches if it has any of the terms. This is a standard way to search. “AND” – Document matches only if it has ALL terms “NOT” - Document matches if it does not have the term that follows NOT

“Wildcard” Search: Inserting the “?” will match any letter and inserting the “*” will match any combination of letters So account* = account, accounting, accounts and r?n = run and ran

When you execute a PROPERTIES search on The Garden…All the information is Optional. Begin by entering any keywords you think will be in the document. Then, select the Property you would like to search by. Next, select a Value option to go with your property type. Finally, click Search. Keep in mind: The more properties you search by, the smaller the group of documents searched is. Some documents might not be properly tagged yet. In that case, widen your search. Department - refers to the department you think owns what you are looking for. Document Type - Refers to the purpose of the document you are looking for. All documents have been assigned types based on the term & definitions sheet on the following slide. Format – Refers to the format of the document itself.
