The Minnesota Immunization Information Connection Minnesota Department of Health CRA 2007 Seasonal Flu Clinic Pilot Our experience with option 2

Minnesota Immunization Information Connection Community Health Information Collaborative (CHIC) Central Minnesota Immunization Connection (CMIC) Communities Caring for Children (CCC) ImmuLink/Metro Counties Southeast Minnesota Immunization Connection (SEMIC) Immtrack Southwest Minnesota Immunization Information Connection (SW-MIIC) A statewide network of regional immunization services Benton County Carver County City of Bloomington

Benton County Public Health – Clinic held on October 29, 2007 Used Fluvirin – Novartis – lot # Vaccinated 108 people Data entry: 15 were already in MIIC 93 needed a new record created Timing: Total of 108 records in 215 minutes or 1.99 minutes per record. Results from Pilot Clinics

Carver County Public Health (CCPH) – Clinic held on November 2, 2007 Used Fluzone – Sanofi Pasteur – Lot # U2466AA Vaccinated 124 people CCPH staff (Just In Time Training) Total New Records: 80 (65%) Total Existing Records: 44 (35%) Total Time: 405 minutes/124 = 3.3 min/record Results from Pilot Clinics (cont,)

Bloomington Division of Health – Clinic held on November 1, 2007 Used Fluzone – Sanofi Pasteur – Lot # U2489AA Data entry: 78 were already in MIIC 67 needed a new record created Total of 145 records in 212 minutes or minutes per record Results from Pilot Clinics (cont,)

Data Entry Conclusions Time to document vaccinations was dependent on 2 main factors –Prior experience using MIIC 3.3 minutes per record for inexperienced data entry staff compared to approximately 1.7 minutes per record for experienced users –Whether the vaccinee had an existing record in MIIC It took twice as long to document shots when entering new clients compared to existing clients

Aggregation by Age Group Easy to do in centralized database using SAS

Entering Aggregate Data into CRA

Conclusions: CRA Option 2 Getting certificate – not a problem just slow in coming Timing – all clinics had their data entered prior to 48 hours after the clinic Aggregation using SAS – easy to do Entering aggregate data –Perceived as a task that needed to be done at the clinic level rather than the state level. Fine for 3 clinics but not for a large number of clinics. –Incentive to become an option 1 state
