Appointments Training Q&A Summary

Roster Percentages Q: Are there any appointments where you don’t need to indicate the roster percent? A: All paid appointments should have a roster percent that corresponds to the maximum FTE allowable for that appointment. Unpaid courtesy appointments would not need a roster percent, but when a courtesy appointment changes to paid it would. Q: Would there be a circumstance when the roster and the FTE would not match up? A: In the case of any temporary change such as reduced responsibility or any leaves such as medical or sabbatical, the roster and the FTE might not match up. Outside of temporary FTE reductions expect FTE and roster percentages to match up.

Lecturer Part-Time Q: Can a Lecturer Part-Time ever be at 100% FTE? A: Yes (sometimes). A Lecturer Part-Time - Temporary can be appointed at 100% FTE on a quarterly basis. They cannot be appointed for more than one quarter at a time if they are at 100% FTE. A Part-Time Lecturer appointed for a full academic year would never be at 100% FTE. Q: If a Lecturer Part-Time - Temporary reaches the three year limit, what’s next? A: If a Lecturer Part-Time - Temporary is renewed quarter by quarter and their appointment is the equivalent of an annual appointment at 50% or greater, reappointment is limited to three consecutive academic years. After that, the faculty member must go through a competitive recruitment. Q: Where can I find more information about the Provost’s Guidelines on Lecturers? A: The Provost’s Guidelines for lecturers can be found on the Office of Academic Personnel website: ap.washington.edu/ahr/policies/lecturer-guidelines

Promotion/Tenure Q: Who is responsible for promotion/tenure for a joint or dual appointment? A: The primary department is responsible for compiling the complete promotion/tenure packet and delivering that packet to Academic HR. They should be working with the joint and dual units to make sure that all materials for those appointments are included in the final packet. Q: Do Tenure Split documents go into hire packets? A: Yes. They should also be included in promotion/tenure packets.

Emeritus Academic Personnel Q: Can an emeritus have administrative supplements (ADS)? A: There are no administrative supplements for emeritus because they should not take on administrative roles. Q: What are the voting guidelines for emeritus faculty? A: All eligible faculty may vote on an emeritus appointment.

Miscellaneous Q: Are affiliates eligible for benefits? A: No they are not; therefore, they should always be under 50% FTE when paid. Q: When should career information be added in Workday? A: Career information should be added in Workday for all hires. Note: Users are prompted to add this information after completing the initial profile. Q: When will there be more information about collective bargaining and postdoctoral scholars? A: Details including more information about the Postdoctoral Scholar-Conditional job title will be sent out in the next couple weeks. Q: Where can I find more information about UW Titles and Ranks for academic personnel? A: There is more information about ranks and titles including new appointments and reappointments and terminations on the Office of Academic Personnel website: ap.washington.edu/ahr/academic-titles-ranks/
