ESS policy for scientific data J Taylor A Schreyer A Hiess T Richter C San Inocencio O Graber-Soudry SAC 17 18th-19th May

Scientific data policy synopsis The policy defines and covers raw & meta data and results coming from analysis of raw neutron data. The Policy is in-line with similar polices at other European neutron and photon large scale facilities. Having a well defined policy for scientific data aids the facility users in dissemination of research and assists them with their scientific workflow, as well as making it clear what organisation is responsible curation of data for long term access. The policy states that it is only applicable to non proprietary research data, and that acceptance of the policy is a requirement for access to the facility Raw neutron data & meta data are stored permanently, and curated by DMSC Access is restricted for a period of 3 years After 3 years the data is made open access (users must register and accept the policy terms) Scientific results (analysed data) is not made open access Policy approved by Science directorate and EMT, noted by AMT To be presented to SAC and council

Details of the ESS Policy for Scientific data Output of a working group Analysis of existing polices from ILL, ESRF, ISIS, DLS CHESS ESS-0081403 Applies to non propriety use beam time only Defines ‘actors’ & Data types A Data policy is essential Open data Requirement of citable data for certain journals Existence of a curated data policy helps users submit papers Very similar to policies for ILL, ESRF, ISIS, DLS Acceptance of policy is a condition of facility access

Details of the ESS Policy for Scientific data ESS will store all raw and meta data for a minimum of 10 years after the restricted access period ends Raw and meta data will be catalogued ESS (DMSC) will act as custodian All raw data will be given a citable DOI Access to raw & meta data is restricted for 3 years Post embargo access to catalogue will be open Post embargo access to data is open inline with ERIC statutes

What does Open access mean Access to the online catalogue of open data will be given to a user, not associated with the PT, providing said user registers with ESS and accepts the terms of this scientific data policy Publications or other generated intellectual property resulting from access to open data from ESS will cite the original persistent identifier of the data, the PT and the proposal number. Restricted access period can be lengthened by written request for unto 3 years. Science director and SAC chair will decide on a case by case basis Restricted access duration can be shortened by request i.e. To satisfy submission process for certain journals

Data policy for scientific results ESS data volumes will necessitate storage of results derived (analysed) datasets on ESS systems ESS will curate results on a best effort basis Access to results remains restricted Ownership and IP is determined by the specific user agreement subject to the ESS IP & inventions policy
