Archiving

Data archiving is the process of moving data that is no longer actively used to a separate storage device for long-term retention. Archive data consists of older data that is still important to the organization and may be needed for future reference, as well as data that must be retained for regulatory compliance. Data archives are indexed and have search capabilities so files and parts of files can be easily located and retrieved.

Traditional Archiving Today’s Archiving

Publications/Books Our example! Digital Library All books published (1864 – 2000) 1,5 million pages Each page = 1 tiff image Possible rebuild all original publication (blank pages also)

Digital Library Publications from 2000 are availiabe @ ine.pt, in PDF format. Ongoing migration of all tiff files to pdf. Should be available in 2017. New Digital library: Will be 3250 volumes for infra-annual editions; With treatment already: 2350 volumes (so far for statistical publications and studies reviews) Example – Monthly Statistical Bulletin will be available since 1929 until today without changing its name/title.

www.ine.pt 1995 – First pages 1996 – Own domain (htttp://www.ine.pt), with around 50 pages. Average of 30 daily visits. 1997 – First deep redesign of the website 1998 – National award Top 100 1999 – National Award Top 100

Should we Need to have it? Why do we need archiving? Should we Need to have it? OR It is Nice to have it?? Legal obligation X Institutional obligation Partly Easy External services? Proof If it happens a dispute

Web archiving is valid also to databases – native digital documents. Some ideas for discussion! Would we need to archive data if we only had publications in paper format? An archiving policy applied for digital statistical data must be defined. Web archiving is valid also to databases – native digital documents. External services won’t arise trust issues? Loss of Statistical Confidentiality?

Traditional Archiving - Acessibility Easy and physical accessible High lifetime Sensorial/historial experience

Today’s Archiving - Accessibility Technology (software & Hardware) dependent Easy copy and transport High lifetime (???!!!!). Should we still read on the future? How to read data from the past with new H&S?

Example for PDF files Some more questions, for discussion…. Do we need to move our data to new media all the time? Should we have a standard for archiving? Example for PDF files PDF/A PDF/A is an ISO-standardized version of the Portable Document Format (PDF) specialized for use in the archiving and long-term preservation of electronic documents. PDF/A differs from PDF by prohibiting features ill-suited to long-term archiving, such as font linking (as opposed to font embedding) and encryption.
