Monitoring & Evaluation Bernard E. Taylor Isaac Koskei Samuel Oyortey October 29, 2014 This template can be used as a starter file for presenting training materials in a group setting. Sections Sections can help to organize your slides or facilitate collaboration between multiple authors. On the Home tab under Slides, click Section, and then click Add Section. Notes Use the Notes pane for delivery notes or to provide additional details for the audience. You can see these notes in Presenter View during your presentation. Keep in mind the font size (important for accessibility, visibility, videotaping, and online production) Coordinated colors Pay particular attention to the graphs, charts, and text boxes. Consider that attendees will print in black and white or grayscale. Run a test print to make sure your colors work when printed in pure black and white and grayscale. Graphics, tables, and graphs Keep it simple: If possible, use consistent, non-distracting styles and colors. Label all graphs and tables.

Objectives Getting to know your new assignment Familiarizing yourself with your new environment Meeting new colleagues Give a brief overview of the presentation. Describe the major focus of the presentation and why it is important. Introduce each of the major topics. To provide a road map for the audience, you can repeat this Overview slide throughout the presentation, highlighting the particular topic you will discuss next.

Module A: What is Monitoring & Evaluation? TRAINING MODULES   Module A: What is Monitoring & Evaluation? Module B: Why Monitoring & Evaluation? Module C: Planning and Design Module E: Data Collection & Analysis Module F: Reporting This is another option for an overview using transitions to advance through several slides.

What is Monitoring & Evaluation? Module A   What is Monitoring & Evaluation?

Let’s Dialogue   What is Monitoring?

Let’s Define What is Monitoring?   What is Monitoring? The word ‘monitor’ is originated from a Latin word where it means ‘watches over and reminds’. Therefore monitoring is the routine, daily review and assessment of ongoing activities, progress and outputs of any given project(s).

Let’s Dialogue   What is Evaluation?

Let’s Define What is Evaluation? Evaluation is the process of determining the merit, worth and value of things, and evaluations are the products of that process (Scriven, M. 1991) Evaluation is conducted at a specific point in time to assess the progress and what if any difference was made.

Review Monitoring & Evaluation If you are somewhat foggy about the difference about these two words, monitoring and evaluation don’t worry. There has been some confusion between the definition of monitoring and evaluation. Monitoring looks at what is being done, whereas evaluation examines what has or has not been achieved or what impact has or has not been made. This is another option for an overview slide.

Why We Should Implement the Process of Monitoring & Evaluation? Module B   Why We Should Implement the Process of Monitoring & Evaluation? What will the audience be able to do after this training is complete? Briefly describe each objective and how the audience will benefit from this presentation.

Why we should implement the processes of monitoring Let’s Dialogue   Why we should implement the processes of monitoring Use a section header for each of the topics, so there is a clear transition to the audience.

Let’s Define Monitoring and evaluation are done in order to guide and improve a project, and learn from it. It can be highly motivating to know that your projects achieve their goals or are on target to achieve the goals set. Monitoring is a tool to reveal if the project plans are working or not working. Add slides to each topic section as necessary, including slides with tables, graphs, and images. See next section for sample table, graph, image, and video layouts.

Module C Planning & Design?   Keep it brief. Make your text as brief as possible to maintain a larger font size.

Let’s Dialogue Planning and Design Microsoft Engineering Excellence Let’s Dialogue   Planning and Design   Microsoft Confidential

Microsoft Engineering Excellence Let’s Define When planning for an evaluation it must be tailored to the particular program being evaluation. One should not use the same evaluation for every program. Certain parts of the plan can be interchangeable but not the entire evaluation. If there is relevant video content, such as a case study video, demo of a product, or other training materials, include it in the presentation as well. Microsoft Confidential

Establish the purpose for the evaluation Below are five things one must consider when planning and designing an evaluation Establish the purpose for the evaluation Who will administer the evaluation Must take in consideration of the resources and time limitations. Methods and procedures to be used Decide if evaluation will be participatory versus conventional Add a case study or class simulation to encourage discussion and apply lessons.

Planning and Design A very important part of planning and design is in deciding what type of questions will be asked. The formulation of the questions will determine if you will get the desired outcome. Lastly in planning one must establish indicators. Indicators are measurable or tangible signs that objective has been met or that something has been achieved. Discuss outcomes of the case study or class simulation. Cover best practices.

Data Collection & Analysis Module D Data Collection & Analysis   Summarize presentation content by restating the important points from the lessons. What do you want the audience to remember when they leave your presentation?

Let’s Define In order to make good and effective decisions one must have the use of credible data. There should be a well-laid plan for gathering and analyzing data. There are basically two types of data qualitative and quantitative. Both have their specific place in assisting leaders to make informed decisions.

Module E Reporting

Let’s Dialogue Reporting

Let’s Define Basically there are two ways to give a report. One can give it verbally or written. Reporting should a requirement for all organizations. The reports may be given as often as daily. However, one must decide how often the leadership, sponsors and stakeholders will need the feedback.

Things reports should include: Financial information Period covered Planned goal and activities for the reporting period Challenges incurred and lessons learned Actual goals met Important indicators Plans for next period – adjustments if needed
