Cisco IP Phone 7961 Series Full-feature telephone that provides voice communication over the same data network that your computer uses, allowing you to place and receive phone calls, put calls on hold, transfer calls, make conference calls and so on. 7940 – supports two lines 7960- supports up to six lines, up to 34 with 14 button sidecars (2 allowed per phone)

Phone Features Any questions on phone features? 1. Programmable buttons: Phone lines/Speed Dials/Services 2. LCD screen: Shows phone features 3. Footstand button: Allows you to adjust the angle of the phone base. 4. Messages button: auto-dials your voice message service 5. Directories button: Use it to access call logs and corporate directory 6. Help button: Activates the Help menu 7. Settings button: Use it to control phone screen contrast and ring sounds 8. Services button 9. Volume button 10. Speaker button 11. Mute button 12. Headset button 13. Navigation button: Allows you to scroll through menus and highlight items 14. Keypad 15. Softkey buttons: Each button activates a softkey option (displayed on your phone screen). 16. Handset light strip Indicates an incoming call or new voice message. Any questions on phone features? Basic Call Handling Next section covers basic call handling tasks, such as placing, answering and transferring calls.

Basic Dialing Information Call for emergency: 911 or 9911 Dial an internal extension: dial 4 digit extension XXXX Dial a local call: dial 9+XXX-XXXX Dial a long distance number: dial 9+1+XXX-XXX-XXXX for all long distance (LD) numbers Dial a international number: dial 9+011+remaining number for all international numbers Note: You do NOT need to dial 9 to get an outside line to dial 911. If you don’t have long distance now, you won’t have it on your new phone.

Ways to Dial Lift the handset and dial the number using the dial pad. Locate the call in the directory and Edit Dial if needed, pickup handset. Push the Headset button, and then dial. Push the Speaker button, and then dial. Go over Dialing, Answering and Ending 7 Ways to Dial Lift handset, then dial. Redial soft key. Edit dial in directory. Headset button then dial. New Call soft key. Note: 1 additional way – dial number, then lift handset. Dials automatically.

Answering a Call Pick up handset Push Headset button Push the Speaker button Push the Answer Softkey 5 Ways to Answer Pick up handset. Answer soft key. Headset or Speaker button. Line button that has a flashing phone icon.

Ending a Call Hang up Press the End Call soft key. To end a headset call, press the Headset button or End Call soft key. 4 Ways to End a Call Hang up Press End Call soft key. Press Headset button or End Call. Press Speaker button or End Call.

Answering a second call (Call Waiting) All phones will have call waiting. Press the Answer soft key. This will automatically put your first call on hold and answer the second call. To get back to your first call, press the hold softkey, use the scroll key to move up to the first call, hit the resume softkey. All phones will have call waiting. You will hear 1 beep for second call coming in—this does NOT repeat after time. The person you are talking to does not hear the beep. You can then answer the second call. Press the Answer soft key or the Line button to select a call. To answer an additional incoming call, press the Hold soft key on original call, then press the Answer soft key or the Line button of the next incoming call. Note: You do not have to place a call on Hold. If you select another call, it automatically places the first call on hold. You can use the scroll key to switch between calls, using Hold, Resume, Trnsfer, etc. as needed.

Place a Call on Hold Press the Hold soft key, this will put a pause symbol next to the line appearance on the phone The call indicator next to the line extension will show a phone off hook if a call has not been placed on hold. To return to the call, press the Resume soft key. = Hold soft key. Resume soft key. Hold Soft Key

Redial the Most Recently Dialed # Lift the handset and press the Redial soft key Or to use the speaker phone, simply press the Redial soft key Redial soft key.

To Send an active Call to Voicemail Use the iDivert softkey on your phone When on an active call, hit the “More” softkey twice and the iDivert softkey will be the second button on your LCD screen

Mute a Call Press the Mute button. The mute button lights when a call is muted, indicating that the other party cannot hear you. To disengage mute, press the Mute button again or lift the handset. Press the Mute button. Button will be lit when activated. You can hear them but they can’t hear you. Press the Mute button again to disengage.

Changing the LCD Contrast Press the Settings button. Press 1 on the dial pad to select “User Preferences” and then 4 for “Contrast” or use the Navigation button (up/down arrow) to highlight Contrast and press the Select soft key. Press the up or down soft key to change the contrast to the desired level. Press the OK soft key and then the Save soft key to save your setting. Press Settings button. Press 1. Use the Up/Down soft keys. Press OK. Press Save to keep settings.

Adjusting the Ringer Settings Press the up or down Volume key while the handset is in the cradle. To change your ringer, press the Settings button, press 1 for “User Preferences”, then press 1 for “Rings”, press Select (Default Ring) This will bring up the different Rings. You can play them and choose which one you would like to use as your default ring. Handset in cradle.

Adjusting the Handset Volume During a call, press the up or down Volume button. Press the Save soft key to apply the new volume level to future calls. Handset off hook while in a call. Press Save if you want to apply to future calls.

Using the Directories Press the Directories button. Missed Calls: Press 1 to select. Received Calls: Press 2 to select. Placed Calls: Press 3 to select. Corporate Directory: Press 4 to select Use the scroll bar to highlight the desired call, then pickup your handset (or push the Headset or Speaker button). Note: The phone will save Missed, Received, and Placed calls. You can use the scroll bar, then Select to choose from the directory also. Press Directories button. Missed – press 1. Received – press 2. Placed – press 3. Note: Will save up to 32 in first three directories. Can place calls straight from directory by pressing the Dial soft key. If changes need to be made, press the Edit Dial soft key and make changes. (i.e. add 9 for outside calls, 9+1 for long distance, remove area code and add 9 for received cell phone calls, etc.) Note: Missed calls – if you have a shared line appearance and that extension receives a call, it will appear as a missed call if you don’t answer it, regardless of whether the other person answers it or not.

Clear Call History Press the Directories button. Select Missed, Received or Placed calls Press the Clear soft key. Press Directories. Highlight the directory – Do NOT SELECT the directory. Only highlight it. Press the Clear soft key.

Transfer Calls During a call, press the Trnsfer soft key. This places the call on hold. Dial the number to which you want to transfer the call and press the Trnsfer soft key again. Hang up. During call, press More soft key. Press the Trnsfer soft key. Dial extension. Press Trnsfer soft key again. Hang up.

Forward All Calls Pickup your handset, press the CFwdAll soft key. You will hear two beeps. Enter the number you would like to forward to as you would normally dial it. The LCD screen shows that your calls are being forwarded. To Cancel Call Forwarding: Press the CFwdAll soft key. Press the CFwdAll soft key. You will hear two beeps. Enter the 5 digit number. (Notice screen: shows your calls are being forwarded) To Cancel: press the CFwdAll key again.

Conference Calls During a call press the Confrn soft key. This places the call on hold and opens a new line. Dial the second party. When the call connects, press the Confrn soft key again to add the new party to the conference call. Limit: total of 5 phone lines. To see who is currently on the Conference call, use the Conflist softkey to view all parties. During a call, press the Confrn soft key. Dial second party. Press Confrn again. Note: Limit of 6. When one person hangs up, others will hear two beeps. When one person joins in, others will hear one beep.

Conference Call Tips To end a conference, all but one party must hang up. To transfer a conference call to another telephone, press the Trnsfer soft key, dial the number to which you want to transfer the call, and press the Trnsfer soft key again. All parties are transferred to the new phone.

How Do I Check My Messages From a Phone? How can you tell if you have a Voicemail through Exchange? A new message will appear in your inbox with the VMO icon, the subject will begin “Message from” so you can differentiate them from your emails

How do I listen to my Voicemail inside Outlook? Double click on the message inside Outlook, this screen will appear. From here you can control the message with the “VCR type” control box. On first time use, make sure to select your 10 digit number with the “8” in front of it. This will be saved as your default setting. With the playback feature you can listen to your message via your PC’s speakers, or the phone’s handset. The light on the phone may not turn off instantly. This is controlled by the sync timing between your PC and the Notes server. If you listen to your message and then mark it as unread (INSERT), it will not turn the MWI back on.

How can I record a message from inside Outlook? Click on the VMO icon from the tool bar. Click on the RED record button. From there you will be able to choose how you want to record it, through the phone or a microphone attached to the PC. You can also play the message back before you send it.
