Site Coordinator Meeting #3 4.4.19

Topics of Discussion Expectations for this week Extra Reminders Material Returns Q & A Time Topics of Discussion

Tasks this Week Make contact with Scheduler Update testing schedule (numbers not needed) on the editable link I sent out earlier this week to include planned makeup days Send updated schedule to all proctors, site admin and hall monitors Reach out to your site contact for last minute communication(sign-in table, make sure the building will be unlocked, etc.) Be prepared for last minute changes and communicate that to your proctors. We like to give time off if possible but testing must be the priority Pre-cache test content Issues? Call the help desk number on all the computer boxes Make sure you can access Pearson Access Next for both ER BOCES and Julesburg/Destinations Tasks this Week

SAT test for April 23 aren’t even ordered from College Board until April 11. Once they come in, they will be sent to you You need to fill out the front page of the answer sheet and make sure everything is bubbled in for all absent and opt out students at your site. If you have a pre-id label, it needs to be done. Proctors can help with this but their time is limited Do we need any kind of a meeting each week? I will be in the office during the testing window and can be reached through my cell – 303-910-3386 At times, it may work best to combine ER BOCES/Destinations students if they are testing the same test at the same time in the same room and just have 1 proctor from each district present. Extra Reminders

Returning Materials Mail back answer sheets ONLY after: PSAT9 & 10 on April 11 End of accommodation window on April 16 End of SAT testing April 23 – you can ship all materials back this day or drop them off at the office End of testing at your site (if you don’t have Apr. 23 SAT testers) (If we don’t get answer sheets sent in from the office by the 26th, the scores will not be graded or reported.) We will e-mail you labels ahead of time. You have either boxes or Fed Ex envelopes included in your materials Make sure to inventory all items before shipping, focusing on SAT serial numbers!! Double check ALL answer sheets to make sure they are thoroughly filled out and bubbled in correctly! Returning Materials

A, B, C, That’s the way for me! EVERYTHING must be alphabetized that has something to do with College Board (PSAT9, PSAT10 and SAT) This includes answer sheets that are sent back early, as well as test books that are sent with the rest of the materials at the end Students need to put their names on the books. They will be sent back with the test scores in the summer A, B, C, That’s the way for me!

Returning Materials –Part 2 Everything else needs to be shipped out/dropped off to the office ASAP –preferably the last day of testing Susan will e-mail you return labels Please recheck the inventory lists with what you have to make sure all is returned. Susan included brightly colored dividers to separate books by school and grade to help the office as we go through it all Please keep everything organized. Don’t just toss it all into a box and ship it off  We will have a very limited time in the office to process everything and get College Board Materials shipped off and don’t have time to search for materials. Returning Materials –Part 2
