Assisting Campus with Student Employment The Payroll Office Assisting Campus with Student Employment

The Law I-9 Process An employee must show documentation to his/her employer to show their identity and authorization to work. Employees must complete Section 1 of Form I-9 at the time of hire (before employment for wages begin). Fines from $110 to $1,100 PER occurrence if not completed timely

Current Process Current Faculty and Staff handled by HR Students handled by hiring departments A high percentage of I-9’s are not completed timely The Director for Compliance identified this as a specific risk to the President and Provost

Future Future Process Faculty and Staff continued handling by HR – no changes Students I-9’s will be processed by payroll and must be completed prior to the commencement of work

New Process There will be office hours in the cashiers office for students to complete their paperwork We will conduct training / information sessions around campus prior to July 1 Beginning July 1, all student employees must complete their I-9 paperwork and present documents to payroll before beginning work
