Welcome to BSIP 101 Transaction Procedures Finding the Elusive DOT # Instructor: Stephen Wright DPI Technical Consultant

Purpose: To discover a DOT number for a stockable material item.

This transaction is utilized to find DOT numbers for material(s) that the plant is planning to stock on the shelf for a period longer than two weeks. If the time period is less please see the tutorial titled “Charge Materials & Sublet Repairs (ZFB61)”

One transaction is required to complete this procedure: MM03 Let’s get started -

Your screen should look similar to the example at the right. From the SAP R/3 Easy Access screen box type MM03 or from your favorites menu, select transaction MM03 – Material Number Search Your screen should look similar to the example at the right.

Display Material (Initial Screen) A new window opens: Display Material (Initial Screen) Click in the open field for Material; this will cause the Match code icon to display. Click the Match code icon .

A new window opens: Material Number The tab titled “G. Search Help for Manufacturer Part Number” should be displayed. If yes; go to next slide. If no; click on the Menu icon in the upper right corner. A dropdown menu will appear; choose line “G” by double clicking the line.

Part we are Searching What we know about the material item: Material = Fuel filter Vendor = Napa Napa’s part number = 7502 Fits = 2015 Ford F250

Search Begin search by entering the numeric(s) of the vendor’s part number on the line titled Manufacturer Part Number. Insert a wild card * <Shift-8> at the beginning, end, and between each digit. Click the Start Search icon or press <Enter> to begin search.

A new window opens: Material Number (1) ### Entries Found In our example 276 entries were discovered that contain 7502 in the MPN (Manufacturer Part Number) column. Tip: Due to the wild cards; 7502 may occur with other digits between our numeric(s) that we are searching. (Ex: 750 x 20 contains our search criteria but it is a tire.) Click the Find icon to narrow the search.

A new window opens: Find A keyword for our item is “filter;” therefore enter it into the open field. Click on the Find icon or press <Enter>.

A new window opens: Find The keyword search for “filter;” found a item (highlighted line), but, it is not a “oil filter” nor does the MPN match our number. Thus, we must search again. Click on the Find Again icon . This will search for the word “filter” without having to re-key the word. Repeat as necessary. In our scenario it will also find DOT numbers GNA090807, IBA050067, and ICA003500. But, none of these items are the item we are looking for.

What do we do Now? If you recall, the material was a NAPA 7502 Fuel Filter; most MPN numbers are NOT setup for this type of vendor. While this vendor may carry the part; it is not a company known for handling fleet materials. So what do we do Now? Before submitting a DOT Creation Request, first look for cross-references from other vendors. For filters look at WIX’s and LuberFiner’s websites. Search Re-begin search by entering the numeric(s) of the vendor’s part number (Cross-reference) on the line titled Manufacturer Part Number. Insert a wild card * <Shift-8> at the beginning, end, and between each digit. Click the Start Search icon or press <Enter> to begin search. Tip: If the search criteria is not found; the message is displayed.

Search By using the vendor’s part number (Cross-reference) the item was found. EEA000112 may be extended to the plant. If the material number was undiscovered, repeat the steps utilizing the other cross-reference numbers.

Tip: If you have exhausted your search using the original vendor number and all of the cross-reference numbers; and this part is going to be stocked. Then go to BSIP’s website http://www.ncbussafety.org/BSIP/SupportRequest.html Click on the application titled DOT Material Number Request; complete, hit the submit button. Timeline: Material number creation application is sent to the DOT within 24 hours of receiving at DPI DOT receives the request a reply will typically be returned within 48 hours to DPI At that juncture response will be forwarded to the client containing the New DOT #.
