Murdoch University IT Services Training Overview This training module is for all students completing a post-graduate qualification Who is this for? On completion, you will know the steps required to submit a variation request in the IRMA system Objective Read through the notes on the following pages Watch the embedded demonstration video Format 10 minutes Duration Murdoch University IT Services

Murdoch University IT Services Preliminaries Changes that affect your on-going candidature or enrolment There are 7 types of variation: Additional Unit Enrolment Change of Degree Type Change of Enrolment Type Extension to Enrolment Time Extension to Scholarship Notification of Withdrawal Request for Leave / Suspension What are Variations? All variations must be approved by your principal supervisor, graduate research director and the graduate research office A variation could impact the conditions of your visa if you are from overseas It could alter when future candidature milestones are due Why do I Need to Submit a Variation? Murdoch University IT Services

Murdoch University IT Services Preliminaries Determine the type of variation you need to submit Discuss your variation request with your principal supervisor before submitting it Complete the supporting documentation that must accompany your variation request Attach the supporting documentation and submit the variation request in IRMA Wait until you receive approval from all three variation approvers What do I need to do? Variation Request Process Logon to IRMA Navigate to your student record in the HDR module Determine the appropriate variation you need to request (1 of the 8 types) SAVE the variation request (DO NOT SUBMIT it at this time) Choose Variation Most variations require additional supporting documentation Forms available on the R&I web site Obtain the relevant form and complete Complete Supporting Documentation Attach supporting documents under the DOCUMENTS tab Upload Supporting Documentation Return to the variation request under the VARIATION tab Complete any additional information required SUBMIT the variation request Submit Variation Request You will receive email notifications as the request gets approved Wait until your principal supervisor, GRD and the graduate research office have ALL approved Wait for Approval Murdoch University IT Services

Variations – Status Progression Approved / Rejected When all signatories have approved the variation set status to “Approved”. Alternatively, set to “Rejected” Submitted GRO will set status to “Submitted” upon notification of submission Pending When the variation is submitted, the status is set to “Pending” Blank Variations are created with an initial status of “blank” Murdoch University IT Services

Murdoch University IT Services Logging in to IRMA On the Murdoch web site, navigate to the Research & Innovation home page Click on “IRMA LOGIN” in the lower-left margin You will be prompted to enter your Murdoch username and password Logging in to IRMA Murdoch University IT Services
