Presentation transcript:

Kali Chiriboga, MBA, OMS II Creating and Maintaining Projects in Collaboration with a Student Population When I was first asked by Brian to give a talk today, I was truthfully honored to be asked to come speak. However, it took me a second to think of a topic that could be applicable to a general project management standpoint as the majority of my experience is working with a student population. However, it made me reflect on the many projects I have worked on in just the past year and a half and everything I have learned in the process. I remember taking some project management classes during my MBA and loving project management because it applies to all areas of life in my opinion. I was planning my wedding at the time and half debated using Microsoft Project to help with the planning, budgeting and scheduling. Kali Chiriboga, MBA, OMS II

Conflicts of Interest I have no conflicts of interest to disclose at this time with this presentation. All images are open sourced

A little about me…. From WI, came to Oregon state….HBS/A which means that I was part of the honors program and did research abroad. COB at OSU 9month programs business Analytics Now at western u Live in Lebanon for school, we lived in Corvallis for 6-7 years Two giant dogs lobo and luna

Let’s do something different

General Overview Start Up of Projects Engaging and Creating the Group Hand Off General Overview

Presented with a Problem Starting Point Presented with a Problem Assigned Project Given a theme Idea Generation In my experience, how a project will start is that we are presented with either of the above scenarios The first three gives us our first step, however the final option– idea generation– can be equally difficult since we have no expectations in a sense

Idea Generation Use your complaints Identify problems Identify needs Identify passions Therefore, I have come up with the following steps that keep to each time I need to come up with a project. In a way this can be manipulated to fit the other scenarios as well, except the first 1-3 steps may already be filled in in the other scenarios.

Example Bob Smith, age 45 submitted a complaint that he waited for an hour before his doctor came to see him. What Bob didn’t know is that the doctor got called to an urgent situation Complaint: waited too long to see his doctor, and now he is angry Problem: too long of wait, patient feels undervalued Need: shorten the wait or find a way to make the patient feel valued and comfortable when he waits Passion: patient care Any complaints from the doctor????? Personally? This model can vary in what is identified as the complaint/problem/need/etc, however it allows us to lay out a framework to work on. A project like this typically gets verbalized to the hospital staff working on the case. How do we motivate them to help make a change?

Presented with a Problem Starting Point Presented with a Problem Assigned Project Given a theme Idea Generation In my experience, how a project will start is that we are presented with either of the above scenarios The first three gives us our first step, however the final option– idea generation– can be equally difficult since we have no expectations in a sense

Idea Generation Use your complaints Identify problems Identify needs Identify passions

Example cont. Complaint: Problem: Need: Too long of a wait time Patient waiting times are too long It was not communicated to the patient what was going on Patient felt undervalued Need: Shorten patient waiting times Keep open communication with the patient Make sure Patient feels valued Complaint: waited too long to see his doctor, and now he is angry Problem: too long of wait, patient feels undervalued Need: shorten the wait or find a way to make the patient feel valued and comfortable when he waits Passion: patient care And just like that, we have created the basis for a project or a way to improve by using a single complaint. We even have our objectives layed out for us This model can vary in what is identified as the complaint/problem/need/etc, however it allows us to lay out a framework to work on. A project like this typically gets verbalized to the hospital staff working on the case. How do we motivate them to help make a change?

Idea Generation Use your complaints Identify problems Identify needs Identify passions The next step

Engaging and Creating a Group Assigned a Group 01 Choose a Group 02 Recruit a Group 03 For each one of these scenarios, you must identify the passions of those you work with. Even when you are assigned a group, you technically may have to get buy in from the whole group and to do this must

Example Typically, this project would be reported to the staff working with the patient How are we going to motivate them to be a part of this project?

Identify their passions Identify their motivations

In the academic setting… Interest groups (pizza) Brainstorm sessions Empowerment Flexibility

Give each member a sense of ownership of the problem/project

Now off to work on the project!!......wait….. The final step We’ve identified Problem Needs (Outcomes) Assembled our Group Found Passions Empowered Shared ownership Now off to work on the project!!......wait…..

The Hand Off starts from Day 1!

A bad hand off….fumbled project

Record Processes in a step like fashion Hand Off Standardization Record Processes in a step like fashion Simplify Be OK with Changes Simpfly – reduce the steps down to the most simple fashion, simple vocab, bare minimum

My current projects Sexual Violence Prevalence in Osteopathic Medical Schools Santa’s Toyshop Sweet Home Intervention Lane County Lung Cancer Screening Program Changing Policy and Advocacy at the University Level
