National Pandemic Flu Service September 2019 Annual Preparedness Test Approach

Overview of testing: Purpose of the Testing: The primary aim of the test for 2019 is to focus on the operational aspects of mobilising the NPFS and the applications that are available to the Health Boards and Health Care Authorities. Test week allows you to use the systems and consider how you would roll these out in your areas. This familiarity with the applications will allow all users to work through: assessments of patients, the issuing of antiviral products and the management of both authorised anti viral medications and the collection points. When testing will commence: The systems will be available for 5 days from Monday xx September. Please note: Testers are able to access the systems at any time throughout this period and are not limited to test on certain days. 2

Overview of testing: Approach: To provide Heath Boards and Community Pharmacies with an opportunity to familiarise staff with the following NPFS applications: Citizen Portal, Issuance Portal, HCP Portal, Collection Point Finder and Collection Point Administration System (CPAS) Each person testing can choose an application that they would like to look at in more detail. We will provide scenarios that you can use that would let you explore the system and training guides that give you step by step instructions You can choose more than one application to review. Please note: You must use the synthetic data that will be provided and not any personal data. 3

NPFS applications: 4 Citizen application This is the application the patients will use to self-assess. It is easy to use and the screen prompts you through the different screens Helps you understand the system patients will use and you can consider how you promote usage locally Collection Point Issuance System Three main functions: To issue antiviral medication, Manage the medication and, The ability to Issue from voucher or prescription. Health Care Professional (HCP) application This system is designed to be used in a face to face assessment between a HCP and a patient. This system can be available before the other applications to help distribute antivirals in hot spot areas. Collection Point Finder Used for patients that have been issued with an antiviral, the collection point finder will display: The 5 nearest collection points to the individual’s postcode, details of the collection point including: Address, Opening hours, and Telephone number. Collection Point Administration System (CPAS) CPAS is a web-based system which allows organisations to register new ACPs or edit existing details. To make this process simple, the information within CPAS will be created using existing pharmacy data held by local health boards or authorities and will be used to inform the general public where and when a collection point is available for collecting their antivirals. 4

NPFS Training briefings In the lead up to the testing window you will receive several group invites to attend a Skype session where we will walk you through the different applications and you will be able to see this demonstrated on your screen. You do not have to attend all of these sessions but accept an invite to the session that is demonstrating the application/s that you will want to test. These sessions are very informal and allows participants to ask any questions they may have We will be sending each tester training guides and additional information such as synthetic data, feedback forms and testing scenarios. The feedback forms are very important to us so that we can continually improve the applications. We would encourage you to capture any feedback whilst you are in the application so that we can replicate any of the comments raised. User logons will be issued by us and emailed directly to you before the test week. We would encourage you to try to access these applications in advance of the test week in case you have any logon issues that need resolving in advance. 5

Materials and Supporting Documentation In run up to the testing you will be provided with the following information and documentation that will need to be used and completed during testing: Feedback sheet Lessons Learnt Data Capture Form Synthetic Data.
