Shipboard staffing & interactions with platform operators Application design and staffing criteria (i) Capes launches the Call for Expedition Candidates submit their application online Scientific Committee analizes applications Each candidate receives 5 evaluations Criteria Marks Scientific merit of the Participation Plan 1 to 3 Candidate’s bond to an institution that guarantees the feasibility of the PP Candidate’s experience in the field If the candidate has participated in any Expedition before (priority is given to who hasn’t) 0 or 1 Capes then ranks candidates and send 3-4 best ranked candidates to Adam Klaus with their files

Shipboard staffing & interactions with platform operators 2. Format for presenting nominations to platform operators These are the files sent by e-mail to Adam Klaus, in PDF, from the best ranked candidates: Participation Plan Application Form (very similar to the one used by USSSP) Curriculum A letter of support/recommendation Below an example of how we present our nominations to Adam Klaus: Candidate Level Institution Total points Rank Maria da Silva Senior Post Doctoral USP 47,5 1st João da Silva Post Doctoral Jr UnB 39 2nd

Shipboard staffing & interactions with platform operators 4. Webinar planning We have not taken any advantage of that opportunity, so would like to hear more about it. 5. Increasing early career scientist participation Deep ocean research is still a young area in Brazil and our scientific community still small; That is why we have been working on both ends: senior career and early career scientists participation.

Post-cruise research and travel funding 1. There is no individual grant specifically to each scientist for post-cruise activities. 2. Our individual support today is mainly during the expedition which includes: travel expenses (air ticket), health insurance and 2 months scholarship (doctorate, post-doctoral and senior researcher levels). However, scholarships won't be granted any longer from Expedition 378. 2. Since 2015, we have been funding 9 research projects selected through a public call (#38/2014) focused on deep ocean research. Candidates to IODP Expeditions that are members of one of these projects rank better. These projects are 5 years long (till 2020) and we finance resources such as scholarships, equipment and lab materials. 3. For candidates to IODP Expeditions who do not participate in any of the financed projects, we ask for a letter from their institutions showing that they will have support from their institutions on postcruise activities. But we do not ask to specify any value as the support can be the lab structure etc.   4. From the last 10 IODP Expeditions calls (362 to 376), 7 selected candidates were members of one of the funded projects. So they will have support for postcruise activities from Capes, through the projects.    5. We are studying the possibility of an specific individual grant to scientists that do not participate in any funded project. And this is a topic that we are very much interested in discussing during the PMO meeting at the Forum.

Panel nominations and travel support CAPES opens a call for application to SEP; The Executive Committee selects the representatives. 2. Travel support CAPES covers all travel expenses of our representatives to attend/participate: SEP meetings; JR Summer School; JR Expeditions; MSP Expedition; JRFB; Forum IODP; Committee meetings (4/year).

Special interest topics for discussion during the Forum and PMO meeting a)      SITE-SURVEY DATA: How are PMOs dealing with the costs for site-survey data collection? Are their governments financing them individually or any collaboration is taking place amongst countries or international organizations? We understand that in some countries this topic is not dealt at PMO level, but others might be. So it would be interesting to understand the different cases. b)      PUBLICATIONS: What are the results in terms of publications derived from participating in expeditions? How are PMO tracking and promoting that? c)      SAMPLE REQUEST: What is the usage/request level of samples from repositories? Are scientists facing any difficulties in requesting them? How are PMOs monitoring that? Are other scientists apart from the ones that participated in expeditions requesting samples? What actions PMO are taking to promote this opportunity (sample request)? d)      TECHNOLOGY AVAILABLE AT JR: Is there any activity focused on learning about the drilling equipment onboard the JR to technicians from the industry? e)      EDUCATION & OUTREACH: How are PMOs promoting education and outreach activities? To what extent an E&O person has contributed to promote IODP at universities? Examples of activities undertaken. f)       PROMOTING IODP WITHIN EACH COUNTRY: How are PMOs working with their scientific community to leverage knowledge on IODP and the number of candidates to Expeditions? g)       COOPERATION AMONGST SCIENTISTS FROM MEMBER COUNTRIES: strategies to promote more international cooperation amongst scientists from member countries.
