PowerPoint Basics   Tutorial 5: Navigation One popular activity in education is multiple choice questions. A PowerPoint presentation, if set up correctly, can offer some interesting, interactive possibilities here. Here’s a flowchart explaining how to go about organizing such a presentation. The slide with the first question will contain the right answer and some dummy answers. If the right answer is clicked, there’s an applause, and the user is taken to the next question/slide. If the wrong answer is clicked, there’s the sound of an explosion, and the user is taken to a new slide with some kind of comment. Clicking on this slide will take the user back to the original question. For this tutorial you’ll have to create a fresh presentation and toggle between this presentation and your new one to follow the instructions. Go to the next slide in this tutorial. Creating the first slide Downloading resources Tutorial 5 – Navigation You’re now on Slide 2 Creating the first slide We will now set up the first slide. Some of its attributes will be repeated in the consecutive slides. Remove the automatically-generated placeholders. Go to Menu > Slide Show > Slide Transition. On the Slide Transition panel tick off both On mouse click and Automatically after. This will ensure that the slide does not change because of an accidental click. Find a suitable background for the slide, e.g. Sunset: Right-click > Background > Fill Effects > Picture > Select Picture > OK). Click Apply to All. This will ensure that the background setting will be repeated in every consecutive slide created. Create a heading in a rounded rectangle reading The Seasons, about 54pt. Place it at the top of the slide. Place a smaller-sized rectangle at the bottom, reading What season is it? (about 40pt). B 8 Downloading resources First we need to download some resources to use in this presentation. Go to the course website and find the Resources section. Download these four graphics onto the Desktop: spring.png summer.png sutumn.png winter.png Create a new presentation File > New > Blank Presentation (on the New Presnetation panel on the right of the screen). Save the new presentation as TheSeasons. A 9 6 Go to the next slide in this tutorial.

Creating the first question slide Creating the feedback slide Tutorial 5 – Navigation You’re now on Slide 3 Creating the first question slide Creating the feedback slide The design for the question slides is simple. We will create four pictures (one for each season). The user must click on the picture that matches the name of the season that appears on the slide. On the slide thumbnail palette, click on the first slide. On the Standard Toolbar click the Copy button. Click beneath the second slide thumbnail – we want to paste a copy of the first slide after the second one. Click the Paste button. You should now be on the third slide, which is an exact copy of the first. Delete the centre button (Click here to start). Change the text of the bottom rectangle to spring. Load the four season graphics we downloaded from the Internet into the slide. Resize them to about 75% and place them in two rows. Don’t put them in the usual seasonal order. What we need to do here is to have a slide for every season. Each slide will have the same four pictures, but only one picture will be correct in every slide, depending on the season name displayed at the bottom. So, in this particular slide, when the user clicks on the spring picture, there should be a positive feedback, and the user is taken to the next slide. When the user clicks on any of the other slides, there should be a negative feedback, the user is taken to the feedback slide and given the opportunity to select another option for that slide. Since the majority of the pictures on a slide will give a negative feedback, it makes sense to set these up first. Go to the next slide in this tutorial. B Now we’ll start creating the interactive buttons that will help us move around the show. Create a smaller rounded rectangle (about 1.5 x 6.5cm) and place it in the middle, centre of the slide. Type in the text Click here to start. Before adding any other features in this slide, we will use it as a template for other slides in the show. We need to create a feedback slide to show when the user chooses the wrong answer. Click on the thumbnail of the slide (in the gallery on the left of the screen). From the Standard Toolbar, click on the Copy and then the Paste buttons. We have now created an exact copy of the first slide. Make sure you are on the second slide. Change the text for the bottom rectangle to No! That’s wrong!! Change the text for the centre rectangle to Click here to try again. Save the presentation. A !! 2

Creating the other question slides Tutorial 5 – Navigation You’re now on Slide 4 Now all pictures have the same action – give the user a negative feedback. Later we’ll instruct one picture to give a different feedback. We can duplicate this slide to create the next three slides in the series. Click the thumbnail for the first question slide, and on the Standard Toolbar click on the Copy button once. Click the Paste button three times. This will create three consecutive copies of Slide 3. We now have a presentation with 6 slides: a title slide, a negative feedback slide and four question slides. Go to each slides from 4 to 6, and change the season name at the bottom of each. Your question slides should have the same pictures, but they should read (Slide 3) spring; (4) summer; (5) autumn; (6) winter. Save the presentation. We now need to change the action for the picture on each slide that matches the season name. Go back to Slide 3, andright- click on the spring picture. Select Action Settings. Change the sound to Applause. Change the Hyperlink to > Next Slide. Repeat this on every consecutive slide, but always remember to pick the right picture in each case. B Creating the other question slides The negative feedback When the user clicks on a wrong picture two events should occur: (a) there’s the sound of an explosion; (b) the user is taken to the negative feedback slide (Slide 2). Right-click on the first picture and select Insert > Action. In the Action Settings > Mouse Click window, tick both Play Sound and Highlight Click. For the sound, click the drop-down menu and select Explosion. Tick the button Hyperlink to: and from the drop-down menu select Slide… From the list that appears select Slide 2 (this is the feedback slide). Click OK. Repeat all the above for the rest of the pictures in the slide. Save the presentation. A !! 5 2 Go to the next slide in this tutorial.

Take a look at the course website for a working model of this show. Tutorial 5 – Navigation You’re now on Slide 5 Ending the show Let’s put a slide at the very end of the show to finish things off. Click on the thumbnail for Slide 1 in the Slide Gallery. Go to Standard Toolbar > Copy. Click at the very bottom of the Slide Gallery right under the thumbnail for the last slide. Click Standard Toolbar> Paste. On the last slide, in the bottom rectangle, change the text to something positive like That was great! In the middle button, change the text to Start again. Change the hyperlink of this button to Slide 1. This will take the user back to the start of the show. Duplicate this rectangle, and place the copy just under the first one. Change the text to End the game. Change its Hyperlink to > End Show. This will exit the show altogether. Save the presentation. B There’s still one last action we need to set on the feedback slide (Slide 2). We must instruct it to go back to the last question slide viewed by the user. Go to Slide 2. Right-click on the rectangle reading Click here to try again. Select Action Settings. Tick the Play Sound and the Highlight Click options. Select the sound Click from the drop-down menu. For Hyperlink to select Last Slide Viewed. This will always take the user to a different slide, depending on the user’s current position in the show. Save the presentation and try it out. When you see that it’s working the way you want, you can save it as a Slide Show (.pps) That’s the end of this tutorial. The final touches C !! Starting the show The title slide now needs to link to the first question slide. Go to Slide 1. Right-click on the rectangle reading Click here to start. Select Action Settings. Tick the Play Sound and Highlight Click options. Select the sound Click from the drop-down menu. For Hyperlink to select Slide 3 and click OK.
