2018 GREAT LAKES- MIDWEST/ROCKY MOUNTAIN REGION LEADERSHIP CONFERENCE JULY 27 & 28, 2018 Chapter Board and Chapter Officers Training- Presidents/Chairs/Immediate Past Presidents Breakout Session

Chapter President’s Duties CEO of the Chapter and presiding officer at all meetings of the board and the general membership. Sets specific, realistic & obtainable goals for the chapter during his/her term. Issues calls for board meetings & prepares meeting agendas. Keeps the board informed of all chapter activities. Receives reports from each board member, obtains necessary action and gives the reports to the Secretary. Represents the chapter to external organizations, the Region, and ARMA International.

President’s Duties, cont’d Signs checks in absence of treasurer and authorizes contracts with the approval and instructions of the board. Prepares reports on chapter activities to the Region Director. Appoints chairman of all standing committees with Board approval, appoints special committees. Acknowledges correspondence addressed to chapter and prepares official chapter communications. Assures that the chapter will have a prepared VP to serve as next Chapter President

President’s Duties, cont’d The President of the Chapter, or his/her representative in his/her absence, is considered the presiding officer, or “chair” person presiding over meetings of Chapter and the Board of Directors. Calls the meeting to order. Announces the board/chapter business. Presents the agenda for acceptance. Asks for Committee Reports.

President’s Duties, cont’d States and puts to vote all motions or questions, which are moved and seconded. Announces the results of votes. Expedites all chapter business Requests/accepts a motion to adjourn the meeting.

Board Chair/ Immediate Past President Duties Ensures continuity from 1 administration to next. Serves as chairperson of the Nominating Committee Guides the activities of the Awards Committee Supervises Chapter awards submissions to ARMA International. Responsible for installation of new chapter officers.

Board Chair/ Immediate Past President’s Duties: Chair-person of Long Range Planning Committee. Leads development of long range chapter plans. Performs other duties as assigned by the Board. Identifies and mentor future chapter leaders.

Discussion Questions What are the largest issues facing your chapters? Are there resources that the region team could help develop that would make you job easier in administering your chapters? As chapter presidents do you feel well informed about activities/discussions at the ARMA board? Over the past year ARMA has implemented a number of new measures to improve communications between HQ, the regions, and local chapters. Do you feel transparency and communications have improved? If you had one message for the Board of Directors in terms of how to facilitate strong and healthy chapters, what would it be? Was your transition from chapter member, to board member, to president an easy or difficult process? What were the biggest obstacles? How does your chapter plan for changes in leadership? How is institutional knowledge passed onto new board members? Do you have a transition plan for the new incoming president? How soon do you begin working with them? Discuss one thing must change at each board position level to improve chapter operations.
