Leadership and Nominating Committee and Chapter Elections September 4, 2019

LNC Purpose To identify leadership potential and interest within the chapter To act as the chapter’s human resources department Goal: maximize the chapter’s leadership potential.

General LNC notes Ensure chapter is appointing their LNC correctly Composition of LNC may vary by chapter Members of LNC may not run for office Director Leadership is an APPOINTED position and acts as chair of the committee

LNC Guiding Principles Be objective Be professional Respect each other Maintain confidentiality Keep in mind the chapter’s best interest Utilize servant leadership Pi Beta Phi leadership model

Educating the Chapter Ensure your entire membership is familiar with the role of LNC and elections process – not just Executive Council / Chapter Leadership Team or those applying for positions Host a “job” fair or create other ways to highlight Executive Council / Chapter Leadership Team positions *Remember* the positions and structure will be new this year so education will be critical!

Elections Process Summary Distribute & accept ideal slate form Distribute & accept applications Conduct interviews Meet to prepare slate Presents slate to AAC/Executive Council for approval Confirm slated candidates accept nomination Present slate to chapter Chapter votes on slate

Potential Officer Eligibility Must submit an application Must fulfill requirements specified by the C&S and chapter bylaws Maintain chapter’s initiated member or Executive Council / Chapter Leadership Team required GPA Meet all financial obligations Not be or have been on academic, financial or general probation by the chapter or the university during the past year Meet any local bylaws requirements Request dispensation as needed

Interview Process Schedule interviews as applications come in Determine interview questions in advance Consider where interviews will take place All LNC members need to be present One AAC member should be present Interviews should last 15 - 20 minutes

Slating Process Prepare the slate Present to Executive Council & AAC for approval Make changes if required Notify candidates & obtain their acceptance Announce slate to chapter & post publicly Appointed positions within the new structure and as per chapter bylaws

Challenger Process Expectations for process in bylaws LNC announces “Challenge By” date in chapter meeting Eligibility to challenge Must be eligible to serve Must have gone through the application/interview process May not have accepted a nomination for another position Challenger written statement & resume posted LNC hosts “Meet the Candidates” session No campaigning of any kind LNC should inform Operations Specialist of any challengers

The Vote GOAL: To elect all slated candidates LNC should be prepared to share brief justification for candidates as needed VPA (currently) / VP Operations (starting 2020) prepares ballots in advance Voting with no challengers vs. voting with challengers Announcement of elected officers Announcement of appointed officers

Sample Elections Schedule September 25th - Announce openings & applications available online October 15th - Applications due at midnight October 21st & 22nd – Executive Council / Chapter Leadership Team interviews November 5th – Executive Council /AAC votes on slate November 10th-12th - LNC confirms candidate acceptance of slate & addresses any challengers November 20th - Slate announced to chapter November 27th - Slate voted upon by chapter

Post-elections Outgoing VPA (currently) / VP Operations (starting 2020) should enter all new officers in eReports immediately following elections with date of installation the “effective” date.

Mid-Term Vacancies Elections should still occur through the formal elections process A member may be temporarily appointed in some situations She is not a member of Executive Council / Chapter Leadership Team, but filling the duties of the role Consider the cascade effect in filling one vacant position During the summer LNC, in consultation with the Operations Specialist, may begin the process through emails, phone interviews and conference calls Chapters should inform the Operations Specialist of any mid-term vacancies

Final Thoughts LNC does NOT elect or appoint anyone LNC presents suggestions based on the positions to be filled and their ongoing evaluations of the pool of talent and interest LNC may be able to offer insight into a member’s particular talents that the rest of the chapter may not be aware of or has not considered Chapter members may ask questions about slating decisions – remember all LNC discussions and deliberations are confidential. AACs role is to provide guidance and approve process As difficult as it may be, LNC shouldn’t be pressured to provide specific details to their peers!
