Overview Art Program initially provided by the Greater Reston Art Center (GRACE). New this year created by parent and art professor Phoebe Avery Science Program created by Shallon Hartke, a former parent & science lover 5 sessions (Oct, Nov, Feb, Mar, Apr) 5 sessions (Oct, Nov, Jan, Feb, Mar) Offered K-6 Offered K-5 Same presentation school-wide; activities may vary based on grade level Grade level specific topics and activities that supplement classroom curriculum Teacher Workroom: Supplies on the Art Cart by the Cabinet (2 carts by grade) Teacher Workroom: Supplies on shelf along the right wall; bag(s) marked by grade level Phoebe Avery, Julie Hanssen Harris, Maggie Booth & Celeste Lemrow Elaine Turner, Louise Gordon Radics & Janet Hope

Coordinator Role There are three main responsibilities: Scheduling the session date Coordinating the volunteer sign-up Communicating with parents, teachers and program leads Let’s Take a Look At Each…

Scheduling Ask teacher for ideally 3 days of the week and times of day that work for session dates Notify GREAT/AE Lead the teacher’s request and IF you want to attend, your preference. No obligation Lead creates the calendar & requests any changes before posting Lead notifies you that the calendar, presentation and activity are posted on PTBoard Create one month at a time. For ease, we try to duplicate the same days of week and times for at least Oct/Nov and again for the last three but we are flexible. AE has more flexibility than GREAT Art = supplies are grade only vs two carts for whole school

Volunteer Sign-Up Create sign-up on PTBoard 1 presenter 2-4 helpers based on grade level and activity Send AT LEAST 2 weeks out Email sign up via PTBoard and send a separate class email Follow up that slots are filled or re-request volunteers Challenges finding volunteers? Ideas ahead

Communication Notify volunteers: Messages can be sent through PTBoard   Notify volunteers: Where to view the materials in advance (PTBoard) How to access presentations in the classroom Where to get activity supplies Arrive 15 minutes early to set up Return all materials promptly Have fun! Messages can be sent through PTBoard Please share session feedback with Leads

Need a presenter/helper?   Need to reschedule? Coordinate a preferred date with the teacher CONFIRM with the GREAT/AE Lead Need a presenter/helper? Ask if someone will present on a different date/time Reach out to grandparents, siblings and SVES alumni 12+ Notify GREAT/AE Lead to help brainstorm or possibly cover

The Power of PTBoard SVES PTA Website: Program Leads can: For caregiver/adult family member who plans to volunteer, regardless of PTA membership status Share session materials, calendar and general information no acct needed to view Volunteer sign-ups Posting classroom pictures Sending announcements and messages Our own private Coordinator group Program Leads can: View each class Be a back-up for emergencies SVES PTA Website has many features: calendar of events, ordering spirit wear, volunteer sign ups for events, etc. Account holders should be local adult family members or caregivers who plan to volunteer at the school. Essentially, only parents who are allowed in the school are allowed to access extra features of the website

The Power of PTBoard Encourage caregivers to create an account Web Team approves requests to join. Secure site Create an account to receive access to all features Join child's classroom(s) for access to the class A template “how to create an account” message to email to parents will be shared Note, parents sent an email invite to join PTBoard receive the weekly PTA newsletter and may think they have a PTBoard.

Successful sessions Review materials in advance and arrive early Helpers set up the activity stations and decide “who’s doing what” during the presentation Mind the clock; limit questions/answers Have students sit on floor: set up activity at desks explain activity BEFORE returning to their seat

Successful sessions Prompt students to make connections by observing, questioning, etc. Let students be as hands on as is safe and reasonable Clean up and return all materials in an organized way for the next session Share feedback with leads and coordinators Have fun!
