Communication Updates 11/13 Committee Action Items: 11/19 Emily, Judy, Maureen and several IR&A staff met to discuss People data requests and how to expedite, or simplify the request process for data access stewards and data reporting request facilitators. Two Results: Use the current PeopleHub process to request data for CoRe’s RE data mart; Have the data request initiator with insight into the data submit requests for institutional data reporting requests (e.g., for user audits, info security, et al.) – currently IR&A was submitting but unable to clearly respond to follow-up q’s. Maureen will engage with stakeholders and data stewards as appropriate to learn from and provide guidance about similar data documentation/artifacts, and publish standards, guides, and best practices in data governance at Yale as a framework of policies, procedures, and published resources for Yale’s administrative data community.  Additional comments/feedback from the committee about scope for data escalation and domains SHOULD BE DIRECTED TO MAUREEN. All recommendations appreciated.

Finance Data Integration into RE led to additional authentications: Data Security Update The Finance Stakeholder Review resulted in recommendations for further field level securitization in the RE data mart in CoRe. Currently being developed and tested. Finance Data Integration into RE led to additional authentications: VPN only necessary for data mart interactions, not report server users. Duo Multifactor Authentication is being tested for data that leverages multiple source data environments (ex. Finance Data flowing into the RE data mart for appropriate users). Security administration – approved is still current model for CoRe: Domain stewards inform and enable appropriate integrated data use. Business and technical resources prototype anticipated tasks & roles. Stakeholders review and jointly confirm administrative process.

Future Committee Efforts Data Background Overview Trainings for Finance Review and approve data governance policies/guides, as CoRe evolves and matures. Discuss and confirm procedures for Common Reporting Platform Identify resources and confirm Working Group assignments: YSM pilot user for RE; Finance Development Testers (Fri., 12/7 training), and Finance Data Assessment Team (antic. 12/14 data background training) Refine and confirm effective data artifacts and tools Communicate progress to your staff and communities
