SHARE Special Project Replatform / DR The DoIT SHARE Replatform / DR project is requesting certification for Closeout Project Justification: The SHARE technical infrastructure was over seven years old and at the end of its useful life. Production support was difficult due to the dated versions of operating systems and outdated, brittle system hardware. Required user functionality could not be achieved unless the application was stabilized. SHARE needed to be migrated to a robust, modern, supportable, and extensible platform so that strategic planning was possible. A SHARE Disaster Recovery environment was required to help ensure business continuity. 2

SHARE Special Project Replatform / DR Project Accomplishments: DoIT successfully replatformed the SHARE application on upgraded hardware, with a much more robust logical technical architecture. The system is stabilized, enabling long term application planning on the new platform. Improved online and offline process run times Improved user experience; better response times to user actions Created an on-premise SHARE Disaster Recovery environment, with real- time data replication and failover capability Virtualized much of the architecture in alignment with DoIT strategy; more flexible and extensible Updated operating system to Linux (more widely supported) Expanded storage and network communication channels Aligned SHARE more closely with Enterprise teams 3

SHARE Special Project Replatform / DR 4 Lessons Learned - Approach: Integrated Management Team: The project was divided into three simultaneous areas of focus: technical replatform, operations, and portfolio management. Each work-stream had an appointed lead, and all leads were highly coordinated and in daily communication. This leadership gave staff the needed support, while allowing progress on multiple fronts simultaneously. Single DoIT Enterprise Team: All DoIT staff involved in the replatform project had a single focus and priority: infrastructure, platform, security, application and database teams were fully committed with a shared goal. Individual team agendas were not permitted; the replatform project would succeed (or fail) with everyone working as a single team. Defined Process and Structure: Close collaboration and communication were critical to the success of the project. Status and issues were communicated daily, at a “stand up” team meeting each morning. This helped ensure dependencies were identified and problems resolved quickly. The project kickoff was a facilitated session with all team members to agree on a technical approach, establish a high level timeframe, and define required tasks.

SHARE Special Project Replatform / DR 5 Lessons Learned - Summary: The structure and processes:  Forced teams and people to work together and emphasized our shared goal  Created transparency into the current status and remaining work, with early insight into issues and obstacles  Fostered collaboration and coordination; eventually – built trust and started to break down existing barriers  Clear priorities eliminated resource contention and reinforced the single team concept and shared goal
