Speaking Network/ Toastmasters Officers’ Roles and Responsibilities 1

The mission of a Toastmasters Club is to provide a mutually supportive and positive learning environment in which every member has the opportunity to develop communication and leadership skills, which in turn foster self-confidence and personal growth. The Toastmasters educational program includes a leadership track, where you acquire and practice the skills necessary to be an effective leader. You can serve as a club leader, developing skills in planning, training, motivating and managing. You even can become a district leader, where these skills are further enhanced.

As a member of Toastmasters, you have an opportunity to serve and learn in many capacities. By participating in the club’s Executive Committee, taking on the responsibility for meeting quality and the long-term success of the club, you will acquire well-rounded skills not only in communication, but also in leadership. Serving as a club officer would also count toward your achievement of a Competent Leader award. Take advantage of the outstanding leadership development opportunities within Toastmasters!

The President Leads your club by promoting excellence Presides over club meetings Chairs Executive Committee and conducts club business Uses the Distinguished Club Program/Club Success Plan as a management tool Attends Toastmaster training sessions and participates at district council meetings Prepares and submits semiannual reports, to be received at world headquarters by April 10 and October 10 Votes at the regional conference and international convention, or tenders proxy to the district. Is a member of the area and district council Takes Team Bank's e-learning training Represents club at Team Bank’s Speaking Network meetings Prepares his or her successor for office 2

The Vice President Education Plans dynamic club meetings Promotes the Toastmasters educational program to club members Orients new members to the Toastmasters program and to the club Makes sure all members understand the importance of excellent evaluations and know how to evaluate Arranges for Speechcraft and other Success/Leadership Programs to be conducted inside or outside of the club Arranges for the club to conduct youth leadership programs Encourages members to participate in other Toastmasters activities and programs Administers speech contests Organizes a speakers bureau Chairs the Education Committee Presides in the absence of the president Attends and votes at area and district council meetings Takes Team Bank's e-learning training and Toastmasters’ training Votes at regional and international business meetings 3

The Secretary Maintains an accurate membership roster Records and reads meeting minutes Assists with the semiannual membership report Reports new officers to world headquarters Prepares and mails orders for Toastmasters supplies Circulates TIPS (newsletter), the supply catalog and The Toastmaster (magazine) Keeps the club constitution and bylaws Maintains general club correspondence Takes Team Bank's e-learning training and Toastmasters’ training 6

The Treasurer Prepares an annual budget for the club Provides the bank with a new signature card Notifies each club member in writing of dues payable Collects payable dues and fees Issues checks to world headquarters for semiannual membership dues/new member fees Pays all bills promptly Keeps complete and accurate records of all financial transactions Presents a verbal and written financial report monthly Submits club accounts for audit Responds to Internal Revenue Service or other government agency inquiries and makes sure the club has an employer's identification number (United States only) Takes Team Bank's e-learning training and Toastmasters’ training 7

The Sergeant-at-Arms Arranges room and equipment for each meeting Greets all guests and members at each meeting Arranges for food service at meal meetings Collects ballots and tallies votes for awards Maintains all club equipment and materials Chairs the Social and Reception Committee Attends and participates in Executive Committee meetings Takes Team Bank's e-learning training and Toastmasters’ training 8

The Immediate Past President Chairs the Nominating Committee Helps with the Distinguished Club Program/Club Success Plan Promotes the club's efforts to become a Distinguished Club Provides guidance and serves as a resource to club officers and members Takes Team Bank's e-learning training and Toastmasters’ training 9

Competent Leader (CL) Award To be eligible for this award, you must have: Achieved Competent Toastmaster award Served at least six months (June 1 through December 31, or January 1 through June 30) as a club officer (president, vice president education, vice president membership, vice president public relations, secretary, treasurer or sergeant- at-arms) and participated in the preparation of a Club Success Plan while serving in this office While a club officer, participated in a district-sponsored club officer training program Conducted any two programs from the Successful Club Series 11
