The PPSO SIG Autumn 2005 Conference…

AUDITING WHAT YOUR PPSO PROVIDES David Marsh and John Zachar

Agenda Why we need to audit the PPSO  Stage One of the audit  Confirm the Reasons for the PPSO  What Does Your PPSO Provide  Stage Two of the audit  Defining the Needs now of the Users of the PPSO (both supply and demand)

Why we need to audit the PPSO  The needs of the users may have changed  Our skills etc may have changed  Are we supporting yesterday’s organisation or today's – what about tomorrow’s?  Do we provide the right tools and infrastructure?  Are we working at the right level?

Confirm the reasons for the PPSO  Review the PPSO’s Terms of Reference (especially who owns it)  Review the PPSO’s Business Case  Review who owns Your Programme and Project Support Infrastructure?

What does your PPSO provide? Make a Catalogue of your:  Standards  Skills  Consultancy and or Body Shop Services  Infrastructure and Information Support  Project Management Framework Support (Tools, Techniques, Templates, etc)  Estimating Information  Risk Catalogues  Product review reports  Project and Development Lifecycles

The questions to ask  When was it* developed  When was it last reviewed  How often was it used last year * It - is everything in the Catalogue

Re- defining the needs of the users of the PPSO  The Senior Managers – What do they NEED with  Other Managers - How can we help them do their job better  Programme and Project Managers- What added value can we provide  Internal and External Audit – What can we do to help them

Summary  Audit First - what are you doing right and what is a success and vice versa  The organisation only values what provides it with value  PPSO should be targeted towards Value Added Services not being an overhead
