Formulas

A formula allows you to perform a calculation on the data in the spreadsheet. What calculations might need to be performed on data ? 1.Add 2.Subtract 3.Multiply 4.Divide 5.Average 6.Minimum 7.Maximum At Level 2 – you will be expected to be able to use Vlookup and IF functions

To use a formula All formulas start with = (equals sign) =SUM(A1:A3)  Adds all the numbers in a range of cells.  Syntax  =SUM(number1,number2,...) =SUM(A3-A2)  Subtracts number held in A2 from A3

The IF function The IF function tests to see whether a certain condition is true or false and responds accordingly. IF(condition, true, false) condition: what you want to test for true: what you want to happen if the condition is met false: what you want to happen if the condition is not met

Formulas

IF function = IF (A3>=100, “Pay Bonus”, “No Bonus”) Checks to see if the value in cell A3 is greater than or equal to 100. If it is will return the text Pay Bonus, if not will return No Bonus. Can be used to check text as well. = IF (A3= “Yes”, “Pay Bonus”, “No Bonus”)

The VLOOKUP function The VLOOKUP function searches for value in the left-most column of table array and returns the value in the same row based on the index number. VLOOKUP( value, table_array, index_number, [not_exact_match] ) value is the value to search for in the first column of the table array. table_array is two or more columns of data that is sorted in ascending order. index number is the column number in table_array from which the matching value must be returned. The first column is 1. not_exact_match is optional.

VLOOKUP function =VLOOKUP(A2,$D$2:$E$8,2,true)

Charts Bar charts Column and bar charts are useful if you want to compare different values, such as sales each month or different answers to a survey question. Pie charts Pie charts are good for showing proportions or percentages. Line graphs Line graphs are used to show values that are always changing. For example, you could use a line graph to show the temperature over a year.

Charts Select data – if more than on column, ctrl and additional columns. If you select the column name, it will be populated on the chart as well. Insert - chart type Or Insert chart – select data tab – select data on spreadsheet (with column name)

Relative referencing In a spreadsheet you can refer to another cell in a formula by using a 'cell reference' such as A1. This refers to column A, row 1. The simplest formula would look like =A1

Absolute referencing In a spreadsheet you can refer to another cell in a formula by using a 'cell reference' such as A1. This refers to column A, row 1. The simplest formula would look like =A1 But spreadsheets allow you to drag that formula down or across or even copy it to another cell. Normally the formula you end up with in each cell is different. For example the next cell down would have =B1 If you want to stick to the same cell, regardless of how you drag or copy it then you use an 'Absolute cell reference' like this =$A$1 The $ tells the spreadsheet not to alter the formula as you drag or copy it to another cell.

Internet Task Task 1 – Internet safety (15 mins) 1. Open a word document and create a heading called “internet safety” 2. Put name, date and page number in the footer. Save the document to the desktop. 3. Find a website about internet safety for beginners using search operators. 4. Take a screen shot of the search engine showing the criteria you used in the search. 5. Paste your screen shot under the heading. Make sure that it is possible to read the criteria 6. Find two images about internet safety. 7. Create a table below the screen shot and paste the images and the website addresses into it.
