Filtering data Lesson Aims and Objectives  apply conditional formatting  display numerical data in graphical form  produce print-outs to meet requirements You will learn how to:  use Find to locate data  set and customise Filters (AutoFilter)  use Filters on single and multiple columns  add comments to cells  format print settings

Sorting data Data can be sorted either :  Ascending or Descending AND 1. Numerically 2. Alphabetically

Sorting data Home tab – far right – Find & Select Custom sort Sort by - which columns? Sort on - what type Order – ascending or descending

Working with numbers– Starter Task Task – SB4.2.1 contains definitions of different types of land.  Save the file in your user area  Open the file in a spreadsheet application 1. Sort the table on each of the three columns, first in ascending order and then in descending order. Does it behave as you expect? 2. Can you explain the order of the ‘swamp’ and ‘marsh’ entries when the table is sorted on the ‘Description’ column? 10 mins

Filtering data You can apply filters to your data. This will enable you to select only data that is required. Home tab Sort and Filter Filter Creates a drop down arrow to allow you to select. What could this be useful for ?????

Finding data You can find data using operators – very useful for large amounts of data !!

Working with Filters - Group Task Task Skill Builder 4.4 Re-open digital asset SB Select any cell in the sheet. Click the ‘Data’ menu and drag down to the ‘Filter’ option. In the sub-menu that opens, click the ‘AutoFilter’ option. Click on the filter arrow in the ‘Card Number’ column. The dropdown menu will list all the numbers in this column. What happens when you click on one of them? Open the filter on the ‘First Name’ column. Click on ‘(Custom…)’ in the list. Enter ‘Peter’ into the dialogue and click ‘OK’. How many people are called Peter? Use filters to find details of:  the person whose card number is  everyone who lives in St Leonards  everyone whose post code contains the letters ‘ES’  everyone who has more than 500 points  everyone who has less than 50 points  everyone who has between 100 and 125 points  all members of the loyalty scheme whose telephone number starts with mins
