Evaluation is part of a larger program planning process. First, you plan the project. Then you implement it. Lastly, you evaluate it. You will have to use what you learn from the evaluation to improve your future project.

 Celebrate successful conclusions  Recognize closure  Acknowledge social relationships

 Now that you have done with your business project, it is time for the last part – project evaluation!  What was positive and the negative aspects of your special event?

 For each one ask the following:  1. What did we set out to do?  2. What did we achieve?  3. What went really well?  4. What could have gone better?  5. What prevented us from doing more?  6. What can we learn from this?

 Events have both tangible and intangible impacts  Tangible impacts ◦ Marketing ◦ Human Resources ◦ Pricing ◦ Programming ◦ Venue  Intangible aspects ◦ Event experience ◦ Communication during event

Data collection + Observation + Feedback + Surveys* = Final report

Create a video about your event  NOTE: Submit final report and video including all documentation (Hardcopy & Softcopy) - DUE: 31 st MAY 2014 (5PM)

 Allow plenty of time for preparation.  Structure your presentation into introduction, body, conclusion and questions.  Make use of clear, powerful visual aids that do not overload your audience.

 This report should detail the processes which the group followed in planning and executing their event as well as reflecting on the successes and failures of these planning techniques and the event itself.  A statement of profit and loss must be included in this report including hidden costs.  It should critically reflect upon the management process by which end goals were reached and should be written in the third person.

 Introduction ◦ Introduction to your event – what was it, what type of event, purpose of the event ◦ Purpose of the report and structure  The Evaluation Process ◦ Overall evaluation of your event – what was good/bad, what would you do differently ◦ What were the aims and objectives of your event and were they met?  Human Resources ◦ Evaluate HRM of your group

 Event Planning ◦ Evaluate the planning processes utilised by your group ◦ (reflect on your SWOT analysis, what difficulties did you come across, how were these dealt with)  Control and Budgeting ◦ Full accounts for your event ◦ Evaluation of these accounts ◦ (were your predictions accurate, did you stick to your budget, cash flow, etc)  Marketing and Sponsorship ◦ Evaluation of marketing and sponsorship

 Stakeholders ◦ Evaluation – did you deliver what you promised, were stakeholders happy, stakeholder feedback  Operations and Logistics (on the day) ◦ What were the main logistical and operational issues for your event ◦ Evaluation of the day of the event – did things run smoothly, any issues, what did everyone do  Conclusion ◦ Summary of report ◦ What were the main lessons learnt from organising your event, what would you do differently in the future

 This report should be written in the third person  Focus on the key things that went well/did not go so well  Do not be afraid to say what you think could have been improved upon  Reflect on how well the group worked together but do not make it too personal!

 Present your post-project analysis.  Submit the mind map.
