David Roth | Evansdale Library, West Virginia University 16/32 Sections of Lesson 14 This lesson has one (1) section: §14.1 What is Voyager? Ok, let’s begin …

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 18/32 What is Voyager? Voyager is a digitized, integrated, library information management system What does this mean? To understand, let’s see how library information was and is processed

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 19/32 From manual system to automated processing Until the 1990s, much of our library processing was done manually and filed on paper, such as on these check out cards

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 20/32 The NOTIS system From the early 1990s until 1999, the library used an automated system called NOTIS, which ran on a mainframe host computer connected to a network of “dumb terminals.” The system had a text interface for DOS-like, command- driven input/output over a TELNET connection.

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 21/32 Automated library systems… Provide computer input and output House information in digital form within databases Are networked Improve scope and range of search capacity Are dynamic systems, permitting changes to be automatically viewable

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 22/32 The Voyager Integrated Information Management System Uses multi-tiered client server architecture Has a graphical user interface operating under Microsoft Windows XP Pro and standard web browsers Provides access to images, full text, hotlinks, and other local and remote resources Utilizes the Oracle relational database management system

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 23/32 Voyager Modules Acquisitions – processing new collection items Cataloguing – creating and maintaining item records and databases Circulation – chief interface with public, maintains patron records OPAC – the Online Public Access Catalog, known as “MoutainLynx” and various text databases and search engines Reporter – creates reports on usage, fines, lost items, etc. System Administration – maintains the overall system and networks

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 24/32 Patron & Item Databases The core of Voyager’s automated information management system consists of a set of relational databases These databases are dynamically interlinked with each other, such that changes to one database will modify a related one For circulation purposes, we will be most concerned with the patron databases and the collections or item databases

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 25/32 Patron Databases Student patron databases are loaded into Voyager periodically throughout the semester from Admissions and Records databases Faculty and staff patron databases are loaded into Voyager periodically from the Human Resources databases WV Resident, non resident, and other patron databases are built primarily through individual library input

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 26/32 Templates Voyager utilizes a template that links together “patron” (that is, library user) elements or features, ranked by different levels or values The most crucial elements are: Name WVU ID or other institutional ID Patron Status (faculty, undergrad, etc.) Address, phone,

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 27/32 Patron Records The combination of linked personal data elements, drawn from categories of the patron database, and grouped together in a template constitutes the patron record or profile of a library user Each patron record is assigned a unique personal identifier in the form of a 9 digit number Name, WVUID, etc.

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 28/32 Item Records In the same manner, elements such as call number, author, and title are stored in the item databases for each book, journal, CD, or other physical item, and drawn from their respective categories to constitute an item record Each item record is assigned a unique item identifier in the form of a 15 digit barcode Call number, author, etc.

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 29/32 Linking Records Perhaps the most significant function of Voyager is the dynamic linking of records based on user activity, such as when a patron record is linked to an item record by charging a book, or when an overdue fine accrues When records are linked, a change to any data element, from any work station, will be reflected in the linked records as well

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A. David Roth | Evansdale Library, West Virginia University 30/32 Data and User Privacy Library patron databases are maintained to ensure efficient services to our library users while maintaining the integrity of our collections. We store the minimum personal information necessary. In many cases, the linked, personal data is deleted when a particular transaction has been completed (for instance, when a patron returns a non-overdue item). However, non- identifying statistical data is collected to provide aggregate information on library activity and collections.

Revised FR :05 EST Created WE Lesson 14. Introduction to the Ex Libris Voyager System / Bringing Learners and Library Skills Together Copyright © by A.
