Automatic Marks

Automatic Marks don’t automatically calculate when the last day of the term arrives. The Automatic Mark job needs to be kicked off and then the marks will calculate. To kick off the Automatic Marks job edit and save an Automatic Mark Rule.

The school wants to hand-out the Seniors’ report cards on their last day, which is 5 days sooner than the last day of school for the rest of the high school. Problem: Automatic Marks won’t calculate until the last day of school. Solution: Set up an Automatic Mark Calculation Date for Seniors.

Reasons why students aren’t getting a GPA Questions to ask yourself

Question #1 Question: On the GPA Set Maintenance page is the Missing Marks Handling set to Ignore Student? Explanation: If the student is missing any marks in the current or any prior reporting term the student will not get a GPA. This is a known issue and has been reported. Resolution: Change the Missing Marks Handling to Ignore Mark or Use Zero or fill-in the missing marks.

Recalculate the GPA. Is the student getting a GPA now? If the student still isn’t getting a GPA continue onto Question #2.

Question #2 Question: Are you running the GPA for a middle school or elementary who doesn’t have credit amounts on the courses in course maintenance? Explanation: The Course Count formula is the only formula that doesn’t take the credit value on the courses into account. Resolution: Edit the GPA Set and change the formula to Course Count or edit each course and put a credit value on the course. Remember as long as the course isn’t marked as Is High School Credit it won’t be included in the student’s high school GPA.

Recalculate the GPA Is the student getting a GPA now? If the student still isn’t getting a GPA continue onto Question #3.

Question #3 Question: On the General tab of the GPA Set are the proper grade levels selected? Explanation: Occasionally a grade level will be unchecked by accident. If the grade level is not checked the GPA will not calculate for that grade level. Resolution: Edit the GPA Set and mark the appropriate grade levels.

Recalculate the GPA Is the student getting a GPA now? If the student still isn’t getting a GPA continue onto Question #4.

Question #4 Question: Are marks entered for the reporting term selected in GPA Set? Explanation: If the GPA Set is marked to include Quarter 3 but no grades have been entered yet the students will not receive a GPA. Resolution: Enter marks in Quarter 3 or edit the GPA and choose another reporting term with marks.

Recalculate the GPA Is the student getting a GPA now? If the student still isn’t getting a GPA continue onto Question #5.

Question #5 Question: Is the combination of reporting terms, mark types, and mark credit types valid according to the marking patterns set up? Explanation: If the GPA Set is marked to include P1 marks in Quarter 1, with a mark type of average no student will get a GPA because quarter marks are a mark type of quarter mark not average mark. Resolution: Edit the GPA Set and make the reporting terms, mark type, and mark credit type a valid combination.

Recalculate the GPA Is the student getting a GPA now? If the student still isn’t getting a GPA continue onto Question #6.

Question #6 Question: Are the courses marked as Include in GPA? Explanation: If a course should be in the GPA calculation the course should be marked as Include in GPA in Course Maintenance. Resolution: Edit each course and mark the course as Include in GPA on the Marks tab.

Recalculate the GPA Is the student getting a GPA now? If the student still isn’t getting a GPA create a Help Desk ticket.

The calculated GPA is incorrect. What should I check? Questions to ask yourself

Question #1 Question: Is the credit multiplier of each mark set to 1.0 on the Marks Maintenance page? Explanation: All marks should have a credit multiplier of 1.0, even failing marks. Resolution: Edit the Marks Maintenance table and correct any credit multiplier that isn’t 1.0.

Recalculate the GPA Is the GPA correct now? If the student still isn’t getting a GPA continue onto Question #2.

Question #2 Question: Is the correct GPA formula being used? Explanation: Marking the Use Prorated Credit checkbox on the 2 nd tab of the GPA Set Maintenance will yield a different GPA calculation as opposed to not checking Use Prorated Credit. Resolution: Edit the GPA Set and uncheck Use Prorated Credit or check Use Prorated Credit.

Recalculate the GPA Is the GPA correct now? If the student still isn’t getting a GPA continue onto Question #3.

Question #3 Question: Is the Precision set to the correct amount on tab 2 of the GPA Set? Explanation: If the Precision is set to zero each student will receive a GPA of 4.000, 3.000, etc. If the Precision is set to 1 every student will receive GPA of 3.9, 3.8, 3.7, etc. Resolution: Edit the GPA Set and correct the Precision.

Recalculate the GPA Is the GPA correct now? If the student still isn’t getting a GPA continue onto Question #4.

Question #4 Question: Have you calculated the GPA by hand and compared it to the DASL calculation, are the point or credit amounts used by the DASL calculation different than your hand calculation? Explanation: Knowing exactly what numbers are divided helps determine where the difference lies between the DASL calculation and the hand calculation. Resolution: After calculating the GPA by hand compare each course to see which course is different between the the two calculations.

Recalculate the GPA Is the GPA correct now? If you believe the GPA calculation is still incorrect create a Help Desk ticket.
