CAASPP: Adding and Managing Users in Test Operations Management System (TOMS) Adding Test Administrators Cin Rogers, Ed.D. LEA CAASPP Coordinator 1

Adding Users  Test Administrators (teachers) must be added to TOMS in order to administer  Interim Assessments and/or  Summative Assessments 2

Manage Security  Test Site Coordinator must have on file at the school and at the district office a CAASPP Test Security Affidavit from each Test Administrator (teacher) to whom access to TOMS has been granted.  CAASPP Test Security Affidavit  3

Information You Will Need  Information you will need to grant access to Test Administrators (TAs)  TAs first name  TAs last name  CDS code for school 14-digits ( XXXXXXX)  TAs address  School telephone xxx-xxx-xxxx  Role in Organization Test Site Coordinator Test Administrator 4

TOMS Access and Logon Steps to Log On Go to and select the [Test Operations Management System (TOMS)] button. Enter your username and password (if this is the first logon, follow the instructions to change the temporary password provided in the sent by CalTac. Temporary passwords are valid for 30 days) 5

Methods to Add Users  Two Methods  One by one – Allow up to 2 hours for the system to process the request and grant access to the added users.  Template upload – Allow up to 24 hours for the system to process the file and grant access to the added users. 6

Adding Users One by One 1. When TOMS has opened – select [Users] button on left navigation bar. 2. Select the [Add] button. 7

Adding Users One by One (cont.) 3. Enter the following information for the user being added:  First name  Last name  address  Phone number  Fax is optional 8

Adding Users One by One 4. Select your school by clicking [Select Organization] 5. Select the radio button corresponding with the user’s role by choosing either Site Coordinator or Test Administrator 6. Select [Add Role] 7. Select [Close] on the “Save User” confirmation box 8. Select [Save] when you are finished adding users 9. Select [Close] on the “Add User” confirmation box 9

Adding Users via Template Upload  1. Create the Excel file  Download the TOMS user list template from the TOMS Web page at  Template is also available at californiatac.org under Test Administration then TOMS  Copy or enter your user information into the template. Adding and Managing Users Guide (page 7; Table 1) describes file specifications  Save Excel file as.xls or.xlsx format 10

Upload the file Select [Browse] button Locate and select the file Confirm that the correct file is selected, and then select [Submit Form] 12

Reminders  Inform teachers they will receive an from CalTac with a temporary password.  Temporary passwords expire in 30 days from receipt.  Logging On for the First Time will require the user to change the temporary password by following the steps as prompted. 13
