Course Objectives Competently use all aspects of the Close Call System with the aid of walkthroughs and exercises and the training guide provided, if required. Aided with your written guidance and the user training checklist provided, you will be able to pass on your Close Call System knowledge to your colleagues who are required to use the system, and act as a ‘key contact’ for the Close Call System within your organisation.

Let’s take a few minutes for introductions:  Name  Organisation and role  Do you have an existing system to record Close Calls?  What role will you play in using CCS?

Launched in June 2011 An online system that allows close call data to be recorded and analysed Mandated by Network Rail on all those holding a Principal Contractor or Plant Operator Licence from 1 st August 2012 Principal Contractors are now responsible for submitting all close calls that occur on their sites, including those involving sub- contractors

Introduction of a ‘category’ to aid trending and analysis Improved bulk upload facility Coordinated approach – all close calls channelled through PC’s RSSB will manage your system set-up (Orgs and hierarchy) –New NR Projects added by RSSB (speak to HSEA contact at NR if project has not been added to your Organisation) Analysis of Close Calls by region and project Functionality to track feedback to the reporter Reduced workload – only high risk and open close calls go to Responsible Manager Industry data available through external reports and dashboards

What is a Close Call and Why record it? A Close Call is… “An act or condition that has the potential to cause injury or damage ” Identification of precursors to potential accidents Supports industry to learn Mitigation measures can be put in place to improve the safety of workers Analysis of industry data

Reporting of Close Calls

User Access & Responsibilities Set up Organisations / divisions/ projects Set up Organisation Administrator(s) Assign new NR projects to Organisations (upon notification) System Admin (RSSB) Set up users when they register Enter Close Call events Bulk upload data (if applicable) Run Reports Organisation Administrator (for whole organisation) Enter Close Call events Process & complete Close Calls marked as ‘High Risk’ or ‘not closed at source’ Bulk upload data (if applicable) Run reports Responsible Manager (for Org level & lower) Enter Close Call events Bulk upload data (if applicable) Run reports Close Call User (for Org level & lower)

Close Call System Champion / Superuser Act as main contact for your Organisations Close Call Users Make all new users aware of the Close Call Helpsite and the Guidance documents available Set up 1:1 training sessions with users if required Liaise with RSSB with any system queries or issues encountered by you or your organisation
