Excel Navigation

Instructions Use this PowerPoint presentation as you answer the Excel Navigation worksheet questions. Have Excel open also and use ALT Tab and then tab back and forth between the two documents while you fill in the answers for the worksheet. NOTE: Many of the features discussed in this presentation are consistent in all Microsoft products.

Excel Navigation Keystrokes Open a blank document in Excel. Type your name in Cell D5. Try the various keystrokes to see where they move the cell pointer: Shift + Tab Ctrl + Home Arrow Keys Ctrl G Home Tab Ctrl + End

Dialog Box Page Setup is an example of a dialog box. A dialog box opens when you choose a menu command that is followed by an ellipsis (…) Radio buttons

Check Box A Check Box is an option that switches on and off when you click on it. This is an example of a check box

Command Button A command button is a rectangular button with words like close, print, cancel, options, etc. on it in a dialog box.

Menus and Tool Buttons Press the Esc Key to close a menu without choosing a command. Press the Alt key and the underlined letter to open a menu without using the mouse. (i.e. Alt F to open the File menu) When you move the mouse pointer over a tool button, a screentip or tooltip displays the name of the tool and a description of the button appears in the Status bar.

Toggle Button On the toolbars there are several toggle buttons. If you click the button once, it turns on. Click it again and it turns off. Bold is an example of a toggle button. A toggle button is like a light switch. It turns on and off with the same switch.

Floating Toolbar A floating toolbar means that the toolbar can be moved from its location around the window into the window space.

Spreadsheet Displays information visually Calculates data accurately Recalculates updated information Cannot plan worksheet objectives. That is what a human does when working with spreadsheets.

HELP! Press the F1 Key Click the question mark (office assistant) on the toolbar Click on the Help Menu

Sheet Tab Double click the sheet tab and then type the name to rename a sheet tab. (i.e. January, February, etc.) Default number of sheets is three, but you can add additional sheets by clicking Insert, Worksheet. Click and drag to move the sheet in a different order.

Fill Handle Fill data within a row or column Select the cells you want to copy. Drag the fill handle (fill handle: The small black square in the lower-right corner of the selection. When you point to the fill handle, the pointer changes to a black cross.) across the cells you want to fill, and then release the mouse button.fill handle (fill handle: The small black square in the lower-right corner of the selection. When you point to the fill handle, the pointer changes to a black cross.) (This Information was taken from Help screen after typing the words Fill Handle) The fill handle is a great tool that can save lots of time by copying formulas rather than having to type them in each time.

File, Page Setup (Commands that are often used) Page Orientation: Portrait or Landscape Scaling Margins Center vertically and horizontally Header/Footer Only shows up on the printout or print preview Print Gridlines Rows to repeat for more than one page
