Publications appear in RAD, ePrints, ResearchMaster, Staff Profiles, QCR Reporting. Some are linked, some are not. Limitations for full linkage is due to lack of technical resources (aka SAMS).

Pre-QUT authors need to be entered carefully so always send these to OR so we can match up their external and staff records. We will enter and source evidence (and only contact author if we need anything additional) OR needs to validate EVERYTHING in these categories as it is being used for ERA DEADLINE – end of January each year (may change in future years depending on ERA deadlines) QUT Scholarly Collection Still entered by faculty for current year (2010) If part of a pre-QUT CV sent by researcher, OR will enter Needs to be validated as it appears on researchers’ promotion and PPr reports If you enter it you need to send it to OR DEADLINE – end of January each year

CRICOS No J a university for the world real R Office of Research Submission HERDC Collection ALL EVIDENCE must be entered into RM by faculty and sent to OR by end of January If there is any missing material or things which need clarification, we will contact you Everything must be signed off by your DOR nominate WE STRONGLY ENCOURAGE EARLY SUBMISSION Later submissions mean you have more paperwork on your desks for longer Later submission means you are rushed towards the end Later submission means your researcher may question (often continuously) why their publication is UNVERIFIED on RAD Later submission means OR are swamped and unable to assist with sourcing more publications for you (such as doing ePrints searches, ISI and Scopus matchings Later submission means quality may be compromised in terms of rushed verification

DEFINITION OF RESEARCH Everything MUST meet the definition of research and be signed off by your nominated DOR delegate for your area Research For the purposes of these specifications, research comprises: creative work undertaken on a systematic basis in order to increase the stock of knowledge, including knowledge of man, culture and society, and the use of this stock of knowledge to devise new applications [OEDC (2002), Frascati Manual: Proposed Standard Practice for Surveys on Research and Experimental Development, OEDC: Paris]. any activity classified as research which is characterised by originality; it should have investigation as a primary objective and should have the potential to produce results that are sufficiently general for humanity's stock of knowledge (theoretical and/or practical) to be recognisably increased. Most higher education research work would qualify as research. pure basic research, strategic basic research, applied research and experimental development Research Publications For the purposes of these specifications, research publications are books, book chapters, journal articles and/or conference publications which meet the definition of research (as defined in section above) and are characterised by: substantial scholarly activity, as evidenced by discussion of the relevant literature, an awareness of the history and antecedents of work described, and provided in a format which allows a reader to trace sources of the work, including through citations and footnotes originality (i.e. not a compilation of existing works) veracity/validity through a peer validation process or by satisfying the commercial publisher processes increasing the stock of knowledge being in a form that enables dissemination of knowledge.

DEFINITION OF RESEARCH Activities that do not support research must be excluded, such as: Preparation for teaching Scientific and technical information services General purpose or routine data collection Standardisation and routine testing Feasibility studies Specialised routine medical care Commercial, legal and administrative aspects of patenting, copyright or licensing activities Routine computer programming, systems work or software maintenance (research and experimental development into applications software, new programming languages and new operating systems would normally meet the definition of research).

DEFINITION OF RESEARCH – NOT ELIGIBLE BOOKS Textbooks, anthologies, edited books, creative works such as a novel, translations, revised or new editions BOOK CHAPTERS Chapters in textbooks, entries in reference books, revisions of chapters in edited books, forwards, brief introductions, brief editorials, appendices, literary or creative pieces, translations JOURNAL ARTICLES Letters to the Editor, case studies, articles designed to inform practicioners on existing knowledge in a professional field, articles in newspapers and popular magazines, editorials, book reviews, brief commentaries and communications of original research, reviews, abstracts of conference papers CONFERENCE PAPERS Papers which are not peer reviewed in full, conferences which are held with a greater percentage of QUT only participants, confernces where the papers only appear on a volume handed out to the participants.

YEAR AVAILABLE Often journals are available online in the year prior to them being published in hard copy. Given they are in the public domain, we can collect them for HERDC! This means that if you have anything which is available online in 2010 (but is not expected to be published until 2011) you can enter it in the 2011 HERDC collection.

QUESTION – who enters the coversheet details after (or during) RM entry?

We want to include it in its original form – it was written as a conference paper and it should be included as a conference paper An author has NO BYLINE on the paper? We can use a HR printout An author is bylined, but not as QUT? If they did the research at QUT and want to claim as QUT we need a statement of affiliation from them, otherwise it needs to go into the QUT Research Collection (not HERDC). We are in 2011 and things start appearing with a 2011 publishing year? We are moving towards year round entry. Categories will be open in February next year so we can have dual collections

I am entering a journal which I know is on the ranked journal list and has quite different FOR codes on the ERA list to what the researcher has given me? Enter the FOR Codes the researcher has given you. Or will clean-up any codes prior to submitting for ERA. Why am I collecting FOR codes when there is some on the ERA list? Until we receive feedback from ERA we don’t know with any certainty that the FOR codes will continue to be supplied for ranked journals – thus best to keep recording it ourselves until this is confirmed. I am struggling so very hard to find evidence which the researcher insists is out there but I just can’t find. Give OR a call. We are super sleuths and may be able to find it or we may have already verified something from the same book/journal/conference and have the material on hand.
