Parts of a Letter

Letters Personal Letter: Printed message sent to a person or organization. Typically have a casual tone. Business Letter: Letter with formal tone opposed to casual. Can be dressed up formally with a letterhead.

1. Return Address 2. Current Date 3. Inside Address 4. Salutation Place a colon (:) after the name if using mixed punctuation. 5.Body 6. Closing Place a comma (,) after complimentary close if using mixed punctuation. Place signature here

VARIATIONS TO LETTERS INCLUDE THE FOLLOWING: The letterhead replaces the return address and is already included in the document. It includes the name, address, and other information about the sender. It also includes and company or school logo. Leave one blank line after the letterhead then insert the date.

Enclosure Notation The enclosure notation is keyed after the closing when the sender includes something else with the letter. Leave one blank line after the closing before keying the word “Enclosure”.

VARIATIONS TO LETTERS INCLUDE THE FOLLOWING: Open Punctuation means that there are no punctuation marks following the salutation or complimentary close. Closed or Mixed Punctuation means that there is a colon after the salutation and a comma following the complimentary close.

Block Style Letter In a block style personal all parts of the letter are keyed at the left margin. ALL LINES BEGIN AT THE LEFT MARGIN

Modified Block Style Letter In the modified block, the return address, date, and complimentary close are keyed at the center. (NOT centered). The beginning lines of the paragraphs may be blocked or indented. Set a tab at the center (3.0”) to make formatting a modified block easier to format. All other parts are keyed starting at the left margin.
