Federal Work-Study Program

 …For taking part in the Federal Work-Study Program.  It is an excellent opportunity for the student to gain experience in a professional environment.

 The Federal Work-Study Program is a need- based, federally-funded program. Eligibility is determined by the student’s FAFSA application.

 There are a few things you should be aware of as a supervisor. The student is responsible for knowing the following terms and conditions, but it is also important for the supervisor to know as well.

 Federal regulations state that students cannot work more than 20 hours a week.  If the student works another, non-FWS job on campus, the college imposes additional restrictions on the number of hours he/she may work.  You will need to work out a schedule with your student worker.

 The student, you, and I will sign a contract that states the student’s award amount, start/end date, rate of pay, and the hours a student can work per week.  The award amount is the total amount the student can earn for the year. Once that is reached, the student will not be eligible to work.  Please help the student keep up with this information.

 A student must maintain at least half-time enrollment at CFCC (6 credits per semester) in order to remain eligible for FWS.  If a student graduates, withdraws, is dismissed from the college, or drops below half-time enrollment at any point in the term, the student immediately ceases to be eligible to work.

 If a student is attending another institution on a consortium agreement, he/she is not able to participate in the FWS program.  Federal regulations prohibit students from working during their scheduled class times.  A student may be permitted to work between terms, as long as the college is open during breaks.

 Work-study students are paid on the last working day of each month. Direct Deposit is available.  The pay periods will run from the 16 th -15 th of each month.  The due date and time will be noted on each timesheet.  Please sign off on the hours worked, and ensure the timesheet is submitted to me on time so the student will get paid on time.

 The following are expectations/policies a work-study student is to follow:  FWS Employees cannot handle any cash transactions; only full-time CFCC employees are allowed to handle cash.  FWS Employees are not allowed to use work- station computers designed for full-time CFCC employees; they are only allowed access to computers for student usage. Student cannot use Datatel or any other college software designed for full-time employees.

 A FWS student should report to work on time, work scheduled hours, notify the supervisor if he/she will not be able to work, and complete the tasks assigned by (you) as the supervisor in a satisfactory manner.  FWS students are not paid to study. To receive the FWS funds, he/she must work and report the hours each pay period.

 Given that this is a “real” job and experience in the professional environment, the student should contact you immediately in the event he/she is sick and cannot report to work.  If the student does not show up for work, or contact you for seven days, you should contact the work-study coordinator, and the student will be terminated from the position.

 The student should dress in a professional manner. If you have a specific dress code, please let the student know.  As the supervisor, you have the right to impose additional rules for the student to follow and can implement them as you see fit. For example, you can require the student to sign or complete additional forms.

 In order to remain employed, all FWS students must maintain Satisfactory Academic Progress (SAP) and follow the Student Code of Conduct while in class and at the workplace.  SAP requires a cumulative 2.0 GPA and a 67% completion rate.

 Time sheet falsification is time recorded on a time sheet that the student did not actually work. It is a crime. Any student who falsifies his or her hours worked will be referred to the appropriate campus authority for investigation and possible disciplinary action. Students who are proven to have engaged in such conduct may expect serious consequences, including but not limited to, immediate termination from the FWS program.  Contact the work-study coordinator immediately if you become aware of timesheet falsification.

 Any student who misuses college equipment or supplies, or commits any serious infraction of CFCC’s Code of Student Conduct, will be subject to disciplinary action by the appropriate campus authority. Students who are proven to have engaged in such conduct may expect serious consequences, including but not limited to, termination from the FWS program.  Contact the work-study coordinator immediately if you become aware of such an incident.

 I am here to support you in any way I can.  I will periodically send out informational s and updates.  I will send out new timesheets via interoffice mail monthly.  You will not be responsible for picking up new timesheets, but I will need you to make sure the timesheet is submitted to me on time each month. Remember to please take note of the due date/time at the top of each timesheet.  If the timesheet is late, we are at the mercy of the Payroll Department and the student may not get paid until the following month.
