Sales Rep UFM The User Friendly Maintenance facility for maintaining the DMAS Sales Rep file (included only in I/O DMASPlus! ) Built on the new “work with” architecture Initial screen displays a list of existing Sales Reps (if any) Search/selection functions to Find a specific Sales Rep Find a Sales Rep by searching for the sales rep name (or partial name) Includes additional Zip Code feature (optional) 2

Change a Sales Rep Provides the ability for a user to make changes to the contents of a sales rep record This function may be used to suspend an active sales rep This function may be used to activate a currently suspended sales rep This function may be used to activate a sales rep that is currently marked for deletion 13

Delete a Sales Rep Provides the ability for a user to delete an existing sales rep If current sales information exists for the sales rep being deleted, the delete will be rejected with an appropriate message A sales rep may only be marked for deletion if no current sales information exists for that sales rep A sales rep marked for deletion will be purged from the DMAS sales rep file the next time that DMAS master file reorganization (UREORG) is run and the sales rep file is selected for reorganization 22

Sales Rep Maintenance Log Provides the ability for a user to review file maintenance activities for any particular sales rep For each sales rep, the log maintains a history log of the contents of that sales rep prior to the last change A new sales rep that has had no maintenance changes will show an empty log The maintenance log is available from either the “Change” mode or the “Browse” mode 26

Sales Rep Maintenance Log The maintenance log is displayed in a window The current record is displayed at the top of the screen 29 Return to Sales Rep UFM Summary The maintenance log shows previous versions of the displayed sales rep, starting with the most recent history record and going back in time Each log shows the action that was made by the user, the date and time stamp of when the change was made, and the user id of the user that made the change Each previous version of the sales rep record is displayed, 4 lines per sales rep (use Page keys if necessary) In this case, address lines 1 and 2 were changed at 1:08 PM on 09/20/2013

Zip Code Sales Rep UFM Maintains the new Zip Code to Sales Rep file Installed with a pre-loaded zip code to sales rep file containing one zip code range record per state User may then sub-divide selected range records o Into shorter zip code range records o Into one record per zip code o Or a combination of the above At order entry time, if a sales rep zip code record is found (including a valid sales rep reference) for the zip code in the sales order ship-to address, the referred to sales rep will be used for the order instead of the sales rep from the customer master 30

If a zip code range record starts with the zip code that was keyed, it will be displayed at the top of the list 2. If the keyed zip code is contained within a zip code range, press the Page Up key to view the zip code range containing the keyed zip code (at the bottom of the list) See next panel 33 Return to Sales Rep UFM Summary Continue

Copy a Zip Code Sales Rep Use this option to break a zip code sales rep range into smaller zip code range segments This in generally a multi-step process o Use the 2=Change option to change the zip code range that is to be broken up, down to the first of the new range segments – i.e. change RI to 02999, to RI to (this frees up zip codes through 02999) o Then use the 3=Copy option to copy RI to 02849, changing the zip codes in the record being created to RI to o Making sure that there are no gaps between the zip code ranges o See the following example NOTE: If breaking an existing zip code range into pieces, it may be easier using the I=Insert option 40

Copy a Zip Code Sales Rep First, use the 2=Change option to open up some zip codes Use option 2=Change to release zip codes for the zip code record (or records) to be created 41 Return to Sales Rep UFM Summary Continue

Copy a Zip Code Sales Rep Then, use the 3=Copy option to copy the existing zip code record We now create a new RI zip code record by copying the existing RI ship to record that now has a shorter zip code range 43 Return to Sales Rep UFM Summary Continue

Copy a Zip Code Sales Rep The new zip code record is displayed in Add mode Since the new record was created by copying the existing RI record, we can now change the zip code range to the new range that we are creating by keying as the first of the range, and as the highest of the range 44 Return to Sales Rep UFM Summary Continue The tax body may also be changed at the same time for the new tax body record by either keying the tax body, or by using the F4=Lookup function

Copy a Zip Code Sales Rep There are now two zip code records for Rhode Island The new record is inserted so that all records are in ascending zip code sequence 45 Return to Sales Rep UFM Summary Each zip code range now has its own sales rep assigned to it

Insert a Zip Code Sales Rep Use this option to automatically split a zip code tax body range into a lower zip code range and/or a higher zip code range, allowing the user to define the new range to be inserted The zip code ranges for the lower zip codes and the higher zip codes will automatically be adjusted, depending on the new range being inserted 46

Insert a Zip Code Sales Rep Use the I=Insert option to define the range to be split Use option I=Insert to define which zip code range is to be split with the new zip code range to be inserted between them if the new range does not include either the beginning zip code or ending zip code of the existing zip code range 47 Return to Sales Rep UFM Summary Continue
