How to show the impact of AHEC? Wouldn’t it be nice if we could document… – How AHEC programs change student interest in, knowledge of and capacity for pursuing health careers? – How AHEC rural/underserved/interdisciplinary training experiences impact attitudes and intentions regarding future practice? – The impact of our retention activities on job satisfaction, development of a resource, mentoring and communication network?

How AHEC programs change student interest in, knowledge of and capacity for pursuing health careers? 1.Pre and post surveys of student career knowledge and interest. 2.Pre and post aptitude testing (or standardized testing scores compared to control) 3.Successful pursuit of health careers compared to a control group How AHEC rural/underserved/interdisciplinary training experiences impact attitudes and intentions regarding future practice? 1.Pre and post attitude and intention surveys 2.Document where and what AHEC students practice compared to control group 3.What percent of CHC providers are AHEC grads? The impact of our retention activities on job satisfaction, development of a resource, mentoring and communication network? 1.Pre/post/long term post test for job satisfaction, ratings of resource network, mentoring, communications network. 2.Documentation of retention rates of AHEC providers compared to control group 3.Track AHEC grads long term

What is the National Student Clearinghouse? Nation’s trusted source for student degree and enrollment verification Central repository and single point of contact for the collection and timely exchange of accurate, comprehensive enrollment, degree, diploma, and certificate records Contains more than 110 million student records More than 3,300 college, enrolling 92% of the US college students

Who can use it Outreach programs (like AHEC) can use the Student Tracker portion of the National Student Clearinghouse to accurately track the postsecondary enrollment and degrees of their program participants nationwide.

Key questions answered Where did my program's former participants enroll in college? How long did their educational efforts persist? Did they transfer between colleges?

Key questions answered Did they receive a college degree? If so, which degree? Where did they graduate from college? What was their college major?

How the NSC System Works Get Account Set Up with the National Student Clearinghouse Service Agreement and User Access Forms Pay a fee Individual Student record Batch process

Individual Participants Consent to obtain post-secondary information

Consent Based vs. Non Consent-Based Do you have written authorization from a parent to use his/her child’s Social Security Number for tracking purposes? SSN v. Name/Birth-date What is the advantage of using SSN’s to track?

Sample Consent Language (South Carolina AHEC ) “My signature authorizes South Carolina AHEC and the regional AHEC Centers (Lowcountry AHEC, Mid-Carolina AHEC, Pee Dee AHEC, and Upstate AHEC) to release information from this application and letters of reference as they may deem appropriate. It also authorizes the use of my/my child’s image and statements. Additionally, I grant South Carolina AHEC permission to use my child’s personally identifiable information for the purposes of federal, state and grant tracking and reporting. I also give my explicit permission for the South Carolina AHEC and its regional AHEC sites to use my or my child’s image. Uses include, but are not limited to: photography, videotape, organizational web site, or print media.”

Batch Submission Create an excel file according to NSC instructions. Save as.txt file. Upload to ftp site (Note: requires separate login from regular NSC site) days for turnaround ( notice). Download results file from same site.

Sample NSC Return File

Database Integration Student Table Fields: Primary Key ID field (or SSN) to Link Your Student Records with NSC Enrollments First Name, Middle Name, Last Name, Birthdate SSN “Consent On File?” Field (If Using SSNs) School, Major, Graduated? etc. (Enables Enrollments Table to be Deleted After Student Table has Been Updated)

AHEC TableNSC Table *** Key to Integrating NSC Data is the “Requester_Return_Field”

Initial Results Analysis Batch 1: as entered Batch 2: non-matched records with manually entered name variants (e.g. Christopher for Chris, Jennifer for Jenny) 2004 former students 1342 with enrollment records out of 2004 (67%) 310 number of graduates out of 1342 found (23%) 153 number of presumed health profession majors out of 310 graduates (49%)

National Student Clearinghouse Strengths Affordable Easy to Integrate National Large database of colleges/universities Strong indicator of student outcomes

Weakness Some colleges/universities do not participate Students can elect to keep his/her enrollment records private Name changes, nicknames, misspellings can be a problem Difficulty classifying majors with careers
