GETTING STARTED WITH THE SREB ELECTRONIC CAMPUS PROCESS FOR GICA MEMBER INSTITUTIONS GICA Contact: Dr. Carrie MataDr. Carrie Mata This slide deck provides pertinent information regarding the procedure your institution should follow to become involved in the SREB Electronic Campus. Beginning with the steps you should take, this slide deck also includes links to all necessary documents, websites, and further information as needed.

Getting Started with the SREB Electronic Campus Process 1. Contact Dr. Carrie Mata to discuss participation and receive a background introduction. Begin collection of syllabi for all courses you wish to have included in the electronic campus [click here for more information on what needs to be included in each syllabi and our evaluation rubric].[click here for more information on what needs to be included in each syllabi and our evaluation rubric]. 5. Complete the Course Nomination Form and Program Nomination Form (if the institution wishes to have an entire program listed). The course nomination form must be submitted regardless of whether a program is also being nominated and should include all courses for which the institution is seeking approval.Course Nomination Form Program Nomination Form 6. Submit the letter, course/nomination forms, and syllabi for all courses listed on the course nomination form to Dr. Carrie Mata. Institutions may find it more convenient to use a dropbox account to submit large numbers of files.Dr. Carrie Mata 7. The GICA EC committee, comprised of Dr. Mata and Dr. Baxter, will review all submissions within two weeks (barring special circumstances) and be in touch with the applicant regarding status. 8. Once approved, GICA will sign off on the course/nomination forms and submit this approval to SREB who will then be in touch to provide the information needed on how to upload the courses to the SREB EC system. 9. Please note that in order to be compliant with the SREB EC regulations, campuses must create a transitional page. This landing page can be a new page or you may use an existing page that addresses distance learning on your campus and append it to include the required components. Once you have this page active and live, please send the link to Dr. Mata.transitional page

Documents Referenced in “Getting Started” (click on the document name to download documents)  Principles of Good Practice Principles of Good Practice  This document should be used to guide development of distance learning programs and in order to be compliant with the SREB Electronic Campus requirements, campuses must submit a letter which details how they comply with these principles or how they plan to if not already compliant.  Program Nomination and Certification Form Program Nomination and Certification Form  Some campuses offer entire programs via distance learning. Prior to submission the institutional coordinator must sign the form along with a college/university representative (normally this person is the Chief Academic Officer on your campus).

Rubrics In order to provide a consistent review and be compliant with the SREB Electronic Campus requirements, GICA will be using the following rubrics to assess the letter of compliance as well as the individual syllabi. Please review these and incorporate the requirements.

Transitional Page

 The Transitional page is a page that resides on the institution's server and greets the student when they transfer from EC to the college or university’s website.  Transitional page requirements are listed on the next slide. It is not necessary to create a separate page. If you have questions about these guidelines, need help formatting information or wish to have the transitional web page reviewed, send an to  In order to effectively brand and promote the Electronic Campus site, all wording should refer to either the Electronic Campus or Southern Regional Education Board’s Electronic Campus or SREB's Electronic Campus. Purpose of the Transitional Page  The Electronic Campus transitional page links the student to the website of the institution from the course or program description page on the EC. Prospective students search course and program information on the EC and move via the transitional page, to additional links on the college or university website.  The transitional page is designed to greet the student and provide a transition to institutional web environment. Each participating college and university is required to establish and maintain a transitional web page that describes its participation in the EC (at least a sentence regarding participating in the EC and/or the EC logo).  The format, order and descriptive titles or headings of information can be customized by the institution to match its practices, objectives and web page design.

Students should have easy access to more in-depth information on the following topics from the college or university transitional web page:  Administration: information about general administrative procedures governing the distance learner, requirements for on-campus classes or activities and technical requirements;  Admission and registration: information about admission and registration requirements and procedures, online services, course cancellation policies, and program and course orientation opportunities;  Advising: information about academic advising regarding the course or program, and the college and university policies, especially those services for distance learners;  Bookstore: information about where to purchase textbooks and how to access bookstore functions, especially if there are special services for distance learners;  Course and program descriptions: detailed information regarding the courses and programs listed on the EC website; course or program descriptions, syllabi and related information (a link to the institution’s current catalog is acceptable.);  Examination arrangements (exam proctors, on-campus requirements), and procedures for grievances and complaints about courses and programs;  Financial aid: information about sources of financial aid and application procedures;  Help: an address or telephone number for assistance with other questions and concerns;  Library: information about access to library support and services for distance learners;  Other student services: such as counseling, orientation, remedial services;  Tuition and fees: information about tuition and fees for distance learning courses and programs, policies for determining in-state/out-of-state fees, and refund policies;  A link to the institution’s Student Complaint Resolution procedure. This should include not only the internal process, but also the external procedure as well. (Links to each of the states the institution is authorized in – not simply a link to the SHEEO website); and  A link to the institution page regarding on State Authorization

Examples  The University of South Florida has done an excellent job of providing information to students at nt.html but also to faculty and staff at authorization.html nt.html authorization.html  The student link is found on the USF transitional page at in the student services section.  Agnes Scott College has put together a landing page that can be used as an example. Opportunity to Reach More Students The Adult Learner

 This is a Lumina funded program through SREB which will be opened up to the country. The back-end infrastructure for it is the Electronic Campus.  When you access your SREB Electronic Campus account to add courses you are provided with a new option: an opportunity to check a box in their EC site that indicate they are “adult-friendly”.  SREB is defining that as meeting the ALFI Principles. ALFI Principles  Once a campus checks the box, SREB will review and determine if the campus in fact meets the principles and can be added to the adult learner site.

More on the “Adult Learner.org”  The Adult Learner Portal at TheAdultLearner.org is a clearinghouse of degree completion programs from regionally accredited colleges and universities, supported by services and information that adults can use when returning to college.  It will provide a single entry point, crucial to adults seeking a degree completion program that best meets their needs.  The portal is developed based upon SREB principles of sharing resources and increasing access, leveling playing fields for learners and promoting access to quality learning opportunities.

Institutions that bring degree completion programs into the Portal must subscribe to four guiding principles.. 1. Programs must be delivered online or in a blended format. 2. Programs must be accelerated or compressed to shorten time to degree completion. 3. Institutions must provide services designed to meet the needs of adults. 4. Institutions must provide and promote forms of prior learning assessment.
