Item Record Cleanup Introduction, examples, & practice Presented by Cathy Mook & Naomi Young
The Problem
We had different correct item practices over the years. In NOTIS, item records were rarely seen by the public; they were primarily for internal use Aleph is highly item-dependent; item data is an integral part of the public display
The Problem When we imported item data into Aleph, we put NOTIS Enum data in field A of the item form, and Chron data in field I of the item form. Later on, FCLA ran a machine fix to delete “v.” from field A.
The Problem
The Solution 1. Delete unnecessary spaces 2. Separate different levels of enumeration and chronology 3. Format appropriately 4. Check OPAC for results
The Solution: Delete Unnecessary Spaces
The Solution: Separate Levels of Enumeration & Chronology
The Solution: Format Appropriately In Desc. Largest unit first Colons separate units Parentheses around dates (1917:Mar.) h/items/index.htm h/items/index.htm Numbers only in fields I, J, K If using dates in A, B, C repeat the year in I
The Solution: Check Results in OPAC
