Memos may share information, make a request, or suggest a change. Lesson 2: Format Content A memo is a short document that is used to communicate quickly between members of a team in an organization.

A memo has special formatting that makes it easier to read. Lesson 2: Format Content The heading identifies the recipients, subject, and other information.

Lesson 2: Format Content The closing can contain the writer’s initials and enclosure information. The body of a memo contains the information being shared.

To begin formatting your memo, set the margins and tab stops. Lesson 2: Format Content A margin measures the distance from the edge of the page to the text. Tab Margin

Memos use a 2” top margin and 1” margins for left and right margins. Lesson 2: Format Content If the memo is very short, you might reset the left and right margins to 1.25”.

A character is an individual letter, number, symbol, or punctuation mark. Examples of characters: J12©? Examples of fonts: Arial Calibri Cambria Examples of font sizes: 18pt. 24pt. 32pt. A font is the unique design of a set of characters. The automatic, or default, font in Word 2007 is Calibri. Font size refers to how large or small characters are. Font size is measured in points.

Font style refers to effects such as bold, italic, and underline. Examples of font styles: Bold Italic Underline Lesson 2: Format Content Apply these effects to words and phrases to add emphasis.

Lesson 2: Format Content To modify a memo’s font, style, and size, open the Font dialog box.

To make text stand out and enhance a memo, or make it better, apply special formatting to characters. Lesson 2: Format Content shadow Some special effects include strikethrough, shadow, and ALL CAPS.

Lesson 2: Format Content Lists and outlines are an effective way to organize information in a memo.

Lesson 2: Format Content A numbered list indicates that items in a list should be viewed, or performed, in a particular order. A numbered list is a list of items that appear in a particular sequence. Each item is preceded by a number or letter.

Lesson 2: Format Content In a bulleted list each item begins with a bullet to call attention to it. Bullets are symbols, shapes, or images such as dots, diamonds, or arrows. Use a bulleted list if it does not matter in which order the items in the list are displayed.

Lesson 2: Format Content An outline numbered list looks just like an outline that you might create on paper to take notes or to study from. You can subdivide the list into a maximum of nine levels.
