The phone

THE BASICS Line/feature Keys Session Keys Message Waiting Indicator Softkeys Back Button Handset Release Button Messages Applications Hold Conference Contacts Not a touch screen, you will use the navigation button to navigate. Mute button turns red when you press it to confirm its on. Softkeys adapt to the menu options on the screen. An example of what your line keys may have would be line, voice mail, and shared line. Placing a call using the handset Lift handset and dial. -or- Dial and lift handset. Ex. Speak to Dial in the voice directory

Placing a Call Using the speakerphone Press Speakerphone button. Dial the number. -or- Dial the number, then press the Speakerphone button. * Speaker phone is very sensitive, use mute button to privatize calls.

Placing a call using the headset Press Headset button, then dial the number. -or- Dial the number, then press the Headset button.

Answering a call Lift Handset -or- Press Headset Speakerphone button

Placing a call on Hold Press Hold button.

resuming a call on hold Press the Resume softkey.

Dealing with a second call When the second call comes in, you will hear a tone in the receiver and the line key will be flashing amber.

Dealing with a second call The second call will appear under the first call on the Session key. To answer the second call, press the flashing Session Key. The first caller will go on hold. Ex. Show example of dealing with a second call

Dealing with a second call Do nothing – second call will go to voicemail. * You have can have 2 incoming calls and 2 outgoing calls on one line.

Dealing with more than one call on hold Press the Session key where the caller on hold resides. The active call will go on hold and the held call will become your active call. Ex. Show example of dealing with more then on call. Emphasis the ability to switch between calls in the session key with the touch of one button.

To transfer a call Press Transfer button. Dial the number. Press Transfer button or the Transfer softkey again to complete the transfer. Ex. Show an example of how to transfer a call.

Press the Cancel softkey. To cancel a transfer Press the Cancel softkey. Then press the End call softkey. Press the Resume softkey to retrieve original caller from hold. *Emphasis how to send a call to voicemail. * + 4 digit ext. Note: To transfer a caller directly into someone’s voicemail, add a * before their 4-digit extension number

While on an active call, press Conference button. Conference calls While on an active call, press Conference button. Call the next party. Ex. Show example of making a conference call.

Conference call 3. When the next party is on the line, press the Conference button or softkey to bring all parties together.

To see List of conference participants While on a conference call, press the Show details softkey for a list of Participants. Ex. Show example of listed participants. * 8 parties are allowed to be on a conference call.

To Remove a conference participant You will be able to remove participants by using the Remove softkey. Ex. Show example of removing a conference call participant. * Remind users that they will have to end outside line participants.

Join two existing calls During an active call, press the (Conference) button. Press the Session key where the other caller is on hold. You will hear a tone and your display will show you are now conferenced. Ex. Show example of conferencing in two existing calls.

Dial the number that will receive your calls. Call forwarding Press Forward all. Dial the number that will receive your calls. Your display will indicate where your phone is being forwarded. Ex. Show example of forwarding a call to voicemail. Note: Forwarding to a cell phone is limited to a Supervisor or above. Note: Forward your calls to voicemail by pressing Forward ALL and then the (Messages) button.

Cancel call forwarding To turn forwarding off: press the Forward Off softkey. Ex. Show Example of turning the call forward off. Note: Phone display returns to its normal idle state.

Press the Applications key. Select Recents from menu. To view call History Press the Applications key. Select Recents from menu. Use the Navigation key to find the desired log, and press Call. Press softkey to return to previous screen. * Show Example of viewing call history.

Voice Mail

Voicemail indicators on your phone: 1.The red light on the handset. 2. The envelope displayed near your extension’s primary line key. * Must enroll in voice mail to check voice messages.

Press the Messages key on your phone. Voicemail Press the Messages key on your phone. Note: Name Greeting Pin # * Wait until the setup assistant says you have completed the process, otherwise the system may not have saved your mailbox. The system will prompt you through the setup process.

To listen to your messages from your phone, press the Messages key. voicemail To listen to your messages from your phone, press the Messages key. To listen to your messages from another Cisco Phone on your network, press the Messages key, dial * + your I.D. (from initial setup) *Your ID is always your 6 digit pin

Voicemail To listen to your messages from outside the office: Dial your direct dial number When your voice mail greeting answers, press * You will be asked for your ID (your 4-digit extension) Enter your PIN

Customizing your ringtones Press the Application Key

Customizing your ringtones Select Settings then Ringtone. Use the Navigation key to find a ringtone, then press the Play softkey to play a sample. Press the Set softkey to select the ringtone for your phone. *If you have more then one line (ex. line1 and a shared line, ), then you have the option to select which line you can change the ringtone of.
