A web-based portal application will be provided to each physician where they can upload the audio files for transcription and download the transcribed letters once the transcription process is completed. The audio files uploaded by the physician will be downloaded automatically by our software and sent to our server from where the files will then be assigned for the transcription department who will process the audio files. The processed files will be uploaded to the physician. The physician can check his file status, i.e. if the files are in progress or if the files have been completed at any time from our web based portal. Transcripts will be delivered within 24 hours from the time the audio files are received. A 12-hour turnaround time is provided for the Emergency files.

The audio files received will be allotted to the Transcriptionists, who type the documents. The transcribed documents are proofread by Quality Analysts. The files from Quality Analysts are sent to Finishing Department where the formatting will be verified. The verified documents from the Finishing Department will uploaded to the web portal.

The files uploaded by our finishing department after effective quality assurance will be placed in this folder, which can be verified by the physician/secretary. During verification process if the physician/secretary needs to make any changes, it can be done and the file can be saved using save option. The verified files can be moved to verified letter folder by clicking on Save and move to verified option. New Letter The letters after completion of verification process by the physician/secretary will be moved to this folder. These verified letters can be opened and printed using the print option. Once printing process is complete the file can be moved to Printed folder using Save and move to printed option. Verified Letter The files after printing process will be moved to this folder. The printed letters can be stored or deleted using delete option according the physician’s needs. The deleted files will be moved to the Trash folder. Printed Letter The deleted files will be stored in this folder. If a physician needs a letter which he/she deleted mistakenly can be retrieved again from this folder for printing. Trash If the physician is very sure that he will not need the letter at any time in the future, the letter can be deleted from Trash folder manually. The files deleted from the Trash folder cannot be retrieved again for future reference. Manual Delete
