Make sure Manager is set not to default to Standard Mode 3. Check Secure Communication setup 4. Setup IP Address of PC to connect directly to IP Office 5. Install IP Office System SD into PC 6. Download software  Go to Avatech.us  Click on Downloads  Download the correct version pertaining to that customer  Link to IP Office Admin Releases Link to IP Office Admin Releases  Before installing this version, make sure that IP Office Suite is not installed on your PC. If Admin Suite is already installed, be sure to Uninstall it before proceeding.  Once downloaded, create a folder labeled IPOffice on the root of the system, C:\IPOffice, and move the install to this folder. Once un-zipped, find setup.exe. Make sure to right click and select run as Administrator during the setup.exe install  Accept all defaults while installing.

Pretty much as soon as you say yes to the format it is complete.  After this is done, the card needs to be recreated.  In Manager, select File->Advanced->Recreate IP Office SD Card-> IP Office U-Law

Setup SD Card for New Install cont.  Manager may prompt you to include Web Manager Files depending on the version.(< R9.1 = prompt) Select Yes and the recreate will begin.  It takes a few minutes to set up the directory structure; it will look as if it has locked up and stopped responding during this process, then it will start to transfer files from the Manager directory on your PC to the SD card.

Preparing the 500v2 Module

©2009. All rights reserved. Preparing the 500v2  First off, this is a 500v2 module  The left most slot is the first slot and the cards should be installed left to right.

©2009. All rights reserved. Preparing the 500v2  This card is called a Combo card. It contains 6 digital stations, 2 analog stations and 4 trunk ports. Most small installs start with this card. Analog Digital Trunks

©2009. All rights reserved. Preparing the 500v2  To add the card to the system, remove the cover  Then insert the card into the slot, making sure to match up the rails

©2009. All rights reserved. Preparing the 500v2  It should look like this after it is inserted.  A big FYI. THESE CARDS ARE NOT HOT-SWAPABLE!!!! Do not add or remove these cards while power is applied to the system!

©2009. All rights reserved. Preparing the 500v2  Once the cards have been installed into the system, you will need to put the SD card into the back of the system in the System SD card slot. You will need a Philips screwdriver to remove the lid that keeps the SD card in place. Once removed, snap the SD card into its slot and reattach the lid.

©2009. All rights reserved. Preparing the 500v2  Once the SD card and the 500v2 modules have been installed, you are ready to power up the system. The initial power up takes about 10 to 15 minutes to complete, depending on how many card are in the system. The LEDs will initially glow red, then flash red and repeat this cycle several times until all modules are upgraded.

©2009. All rights reserved. Preparing the 500v2  The system is up and running when the LEDs that correspond to ports 1 and 9 blink amber. This is normal operation. These lights will turn green when phones or trunks are plugged into them. They will, however, continue to blink amber every 5 seconds.  The phones are now ready to be upgraded and the system is ready to be programmed.

©2009. All rights reserved. Upgrading phones  In the best case scenario, you have done all these steps in the office prior to going onsite. Upgrading the phones now prevents us from doing so onsite and speeds up the install.  Once the system is up and the LEDs are blinking amber, simply plug a phone into one of the digital station ports and the phone should upgrade on its own.  If the phone upgrades, the port may not initiate another upgrade if you plug a second phone into that same port. In this case, plug into the next port and it should start the upgrade process.  Depending on the software on the phone, it may not need an upgrade. Once the upgrade or boot up process is completed, the phone should come up to this screen.

Initial Programming of the 500v2

Initial Programming of the 500v2  We are now ready to program the system.  Make sure your PC is connected to either the LAN or WAN port and your network settings are correct. (Slide10)  Start by opening the IPO Manager program.  Next select File->Open Configuration  You should then see the popup window shown below

©2009. All rights reserved. Initial Programming of the 500v2  We now need to save the configuration to make the system mode permanent.  Click File->Save Configuration. Then say ok to merge the configuration.  If the system prompts you for a login and password, the default is Administrator for both.

Initial Programming of the 500v2  I then typically close the configuration and open it again just to make sure it recognizes the system mode correctly  Select File->Close Configuration. Then File->Open Configuration. If it didn’t before the system will now prompt you for a password.

Obtaining the Inventory file

Obtaining the Inventory file  Avatel now needs the Inventory file for submission to Avaya for maintenance purposes.  You will need to access the system via a web browser to get this file. I have found that Firefox or Chrome work best.  You will need the IP Address of the system, which should be defaulted unless it has already been changed. These default addresses are located on Slide 10 if you need them.

©2009. All rights reserved. Obtaining the Inventory file  The browser may prompt you to confirm a security exception before proceeding. Once confirmed, Web Manager should start and display this screen.  User Name Administrator  Password Administrator (unless this has changed)

Depending on your browser’s settings may be prompted to choose a destination for the file to be placed or it may automatically be downloaded to the Downloads folder. If prompted to, choose the location to put the file and save it to your PC.
