learning that measures up 2 of 6 Preparation, preparation, preparation…. How many times have you been asked to prepare a presentation and the first thing you do is write your power point slides? Although these visuals may be necessary, in the overall scheme of things, they should come way down on your list of actions! The first step is to: 1. Understand your audience 4. Organise your material 2. Define your objective 3. Prioritise your content THEN NEXT & FINALLY

learning that measures up 2 of 6 Preparation, preparation, preparation…. Analysing who your audience are is an important factor in ensuring your presentation style and content is relevant. Consider using the following questions: What is their objective for listening? What will they expect to be told? What do they need to know? How much do they already know about the topic? How people will be present? Will there be decision makers in the group? 1. Understand your audience

learning that measures up 2 of 6 Preparation, preparation, preparation…. Tailor the presentation to meet the audience needs you have identified. Consider whether the aim is to: 2. Define your objective Persuade – a sales pitch Instruct – if you know the topic Inspire – as part of a change programme Once you have decided on your overall aim you then need to define your objective in more specific terms e.g. ‘to persuade the management team to spend £5000 on a new computer.’ Be realistic and limit yourself to 8-9 words.

learning that measures up 2 of 6 Preparation, preparation, preparation…. 3. Prioritise your content This represents how much you know about your subject. This represents how much there is to know about your subject. This represents how much time you have to present on your subject! In order to achieve your objective and stay within the allotted time you need to prioritise your content by selecting which information is: E = essential D = desirable F = filler

learning that measures up 2 of 6 Preparation, preparation, preparation…. Organise your material into a logical 5-part structure: 4. Organise your material A: Attention – grab it straight away! 1. Opening B: Benefits of listening to you C: Credentials of you as a presenter D: Direction you are going to take in the presentation 2. Introduction 3. Main body Key points – each key point should be like a mini presentation with a beginning, middle and end. 4. Conclusion Signpost that you are about to finish as this will heighten the audience concentration. Audiences tend to always want us to finish! Invite questions at this point. 5. Close After question time regain control of the situation by leaving the audience with your closing message which should be positive, confident and a high note!

learning that measures up 2 of 6 Practice makes permanent…. 50:50 PreparationPractice To deliver a powerful presentation this is how much time you should spend on both!

learning that measures up 2 of 6 Powerful performance…. You have now successfully prepared, planned and practiced your presentation. All you need to do now is deliver it to your audience. Easier said than done!? However the following tips will help boost your confidence and make you feel in control: Breathe deeply – will help you relax and control the pitch, tone and volume of your voice Stand tall – make sure your visual image is powerful and positive to engage your audience Project your voice – remember the 3 ‘e’s – energy, enthusiasm and excitement. Let your personality show – feelings not fact convince people “Smile – it adds to your face value”

learning that measures up Luck = Good Planning + Careful Execution! Your next steps….
