 Will be providing 30 FREE Spalding outdoor balls for distribution to interested clubs on first come-first serve basis – All have been reserved

 Free rentals on weekday afternoons  Jaycee Park – need to wrap up by 5:30/6PM due to evening adult leagues (exception Fridays – no league)  Green Road Park – more flexible contingent on no new adult leagues forming  Fee-based rentals on Saturdays  $15/hr/court (approx $ for large tourney utilizing 6 courts)  Saturday tournament fees can be shared by participating schools (approx. $20/team)  Jaycee Park ◦ Lighting will be replaced during winter months. Projected completion by mid-March ◦ Cranks to adjust nets at Jaycee to be provided to club administrators practicing at that site… still in works… might require a training session from Raleigh Parks and Rec  Background Checks: ◦ Requesting that forms be filled out by club supervisors so city can do free background checks. (Mark will distribute)

 Can we utilize 8 th graders ? ◦ This happens with some of the smaller independent schools but since NCHSAA designates varsity sports as 9 th -12 th then we’ll stick with that. Perhaps add beach volleyball at middle schools down the road.  Can homeschoolers compete on a high school club? ◦ No  Combining schools to form a single club? ◦ No  May 11 th Playoff Date Conflicts with Quest for Excellence Indoor Tournament in Greensboro ◦ Suggested to stick with date though  Insurance Concerns? ◦ Check with your school to see if insurance coverage follows the participant, regardless of location of competition  2012 Collegiate Championships weekend of May 4/5 ◦ Consider pulling some teams together to travel to Gulf Shores, AL which also has junior beach tournament and HP beach camp. This wouldn’t necessarily be tied to the high school club programming, just sharing.

 For seeding in tournaments/playoffs. More flexible than seeding based on win/loss records.  Utilize system that was used on Carolina Region Jr Beach Tour in 2012: ◦ Points awarded to individuals (to accommodate partner switching) based on finish and size of tournament ◦ A points average based on # of competitions contested will be used for rankings so to accommodate widely different participation numbers ◦ Will need to be adapted to handle head-to-head competitions. Suggestion:  Group Consensus: Awards less points than a tournament because it’s a one- match/team competition. See last column in chart below.  Winner of #1 seeded teams’ match gets the equivalent of 1 st place points. Loser gets 2 nd. Winner of #2 seeded teams’ match gets 3 rd, loser 4 th and so on ◦ Partial listing: FinishPoint % 24+ teams teams teams 6-11 teams Head to Heads % % % % % % % % % %

Group consensus: Book all dates!  March 15 th – Friday evening –  March 16 th – Saturday – only conflict is 1 Carolina Region indoor tourney – Club 13-15s  April ◦ April 5 th – Friday Evening - Might drop due to it being at end of Spring Break ◦ April 6 th - Saturday - only 1 indoor tourney for CLUB division for 13-15s in Carolina Region - Might drop due to it being at end of Spring Break ◦ April 12 th - Friday Evening ◦ April 13th - Saturday (Lone Star - 13s-15s only)  May: Conflict with any school or non-school teams wanting to go to Collegiate Championships in Gulf Shores, AL ◦ May 3 rd – Friday Evening ◦ May 4 th – Saturday ◦ May 11 th – Playoffs – Green Road Park in Raleigh – Hosted by vh1vball  TODO: Designate a “host” club/organization for each event to run check-in/tournament execution. Registration cutoff 1-2?? weeks before each event.

 First year: ◦ Open tournament for all clubs  30 team cap if hosting at single site – Green Road  Max number of teams per club subject to capping based on final number of participating clubs.  Pool play followed by multiple playoff brackets based on finish in pool play  Championship Bracket – 1 st /2 nd place teams from pools  Consolation Bracket – 3 rd /4 th place teams from pools  Winning club has highest number of points accumulated based on best 3 overall finishes of all teams from club in tournament  Future years: ◦ Separate playoffs for all teams that are seeded the same (ie: all #1 seeds have own playoffs, all #2 seeds, etc) ◦ Similar setup as tennis

◦ Propose using Google docs for a shared/online repository that club administrators can access/update vs. any single person having to keep track of everything ◦ Includes:  Contact Lists for Clubs  Scheduling (will be shared with Raleigh Parks and Rec so they can officially put rentals in their books)  Results  Rosters  Signups for open tournaments? ◦ Access given upon submission of club membership form

◦ Club Dues  It’s been agreed that the HS Sand Volleyball Association will rent and pay for courts held on Saturdays in Raleigh where rental charges are assessed  Consequently, clubs should pay per participant-based dues that cover all entry fees for Sat tournaments/playoffs that club participates in. Projected at $20/participant  Example: A club with 5 teams (10 players) will pay $200 while a club with only 1 team will pay $40.  Clubs can individually decide if they need to charge anything on top of $20/participant to cover uniform costs, transportation, etc. Goal is to keep participation fees to $40-60 range.
